Registrars Permissions

The default Registrars role is for users who need access to Registration features related to courses, sections, overrides, grades, attendance, competency-based education (CBE), faculty, and students.

Each permission in the Manage Definitions category controls user access to a particular definition page, such as the Degree Definitions page or the Group Registration Definitions page.

Most of these give permission to manage, which means the user can view, edit, and delete existing definitions on that page and also download the definitions to an Excel file. They can also create new definitions for that page.

A few permissions are for viewing rather than managing. A user with view permission can see the definition page but can't edit, delete, download, or create definitions.

Can view courses

View the course summary page for all courses. This lets them see the course overview including schedule, location, credits and hours, and the requirement it fulfills, as well as the registration status.

Can edit courses

Edit course information for all courses.

Can view Course List

View all details on courses and filter them.

Can view Course Center

View and filter all courses, and link to the course summary page, the roster, and the grade book.

Can view course roster

View the roster of all courses. They can see student details including divisions, degrees, and programs, as well as contact information for the student and their advisors.

Can access courses for all academic years

View courses in past and future terms. This lets users view courses before and after the limits set for most users on the Registration Settings page.

These can be used for any student in any course section.

Can view course overrides

View department course overrides including course, term, student, override and status, as well as the date it was entered and who created it. They can filter the list with search phrases or sort by column.

Can set up course overrides

Enable course overrides in J1 Web Registration Settings. This lets your school use J1 Web course overrides instead of the Campus Portal authorizations feature.

Can grant course authorization overrides

This includes granting permission for a student to register for a course section that otherwise requires faculty approval.

Access the grade entry page to view grades for all courses.

Can set up grade entry

Create grading periods.

Can enter grades for open grading periods

Enter or edit grades for any open grading period.

Can always view and enter all grade codes

Enter or edit grades even when the grading period is closed.

Can view attendance

View attendance reports, which is relevant to retention and reporting.

Can report attendance

Submit attendance reports, which provides information that can help improve retention and be used for reporting.

Can always report attendance

Submit and edit attendance reports inside or outside of reporting periods. This lets them correct errors and complete missing information.

Can view reported attendance

View attendance reports for checkpoints and census date types.

Can process reported attendance

Process attendance reports for checkpoints and census date types. They can verify or deny submissions as well as drop or withdraw students who aren't attending.

Can view CBEs

View information related to competency-based education, which lets registrars work with a system that recognizes specific skills and benchmarks in student achievement.

Can edit CBEs

Edit information related to competency-based education.

Can add CBEs

Add competency-based education elements (such as levels, units, and competencies) to catalog courses and sections.

Can remove CBEs

Remove competency-based education elements (such as types, levels, units, and competencies) from catalog courses and sections.

Can view catalog courses

View the course summary page for all courses. This lets them see the course overview including schedule, location, credits and hours, and the requirement it fulfills, as well as the registration status.

Can edit catalog courses

Edit course information for department courses including title, campus, ARC, hours, and more.

Can add catalog courses

Create new catalog courses.

Can delete catalog courses

Permanently delete courses from the course catalog.

Create new faculty members and edit existing faculty member information in the Registration Administration hub.

Can view faculty achievements

View faculty achievements from the Manage Faculty page.

View a student's withdrawals from courses at other schools.

View a student's FERPA information.

View, create, copy, edit, download, and delete permissions.

Can edit Financial / Billing

Edit financial details on a student's Student Information Details page, General Information tab.

Can generate charges

Generate charges for students who have courses in the selected term. You can run charges in preliminary or final mode.

Can manage individual transcript notes

Access a student's Individual Transcript Notes page from the student's summary page.

Can lock repeated student sections

Lock a student's repeat status for a section, which keeps the repeat status from being changed.

Can add programs

Add programs to a student's information details such as majors, minors, concentrations, certifications, and honors, as well as entry and exit information, expected graduation, and degree lock.

Can remove programs

Remove programs from a student's information details.

Can view registration clearance

View the Registration Clearance block and the Registration Clearance list, which show students awaiting clearance to register.

Can grant registration clearance

Grant clearances on the Registration Clearance block and the Registration Clearance list, which show students awaiting clearance to register and grant clearances.

Can view retention score

View a student's retention score, which can alter them to at-risk students.

Access the Manage External Registrations page and register external students in sections.*

Add student divisions to student information details, which tracks student achievement in multiple divisions.

View information about a student's division, which includes entry date for the division, expected graduation term, cohort, entrance status, exit and re-entry, leave of absence, certification, and advisors.

View information related to student enrollment such as division status, classification, academic status, honors status, and group reg code.

Can view success team

View the Student Success Team block on the Advisee Spotlight page. The block contains a list of advisors, coaches, faculty members, and location managers assigned to help the student stay on track.

Can view transcript requests

View the Transcript Requests page.

Can manage transcript requests

View, edit, create, download, delete and track the status of transcript requests. Process the requests to create transcripts.

Can unlock / edit a locked program (degree)

Lock or unlock a degree. Locked degree and program information can't be edited. When the degree lock off is disabled, information can be edited.

Can withdraw student section records that do not have History status

Withdraw a student from a section only if the section doesn't have History status.

Can withdraw student section records that have History status

Withdraw a student from a section even if the section has History status.

Can view student section list

View all students' course history elements including repeats, earned hours, and quality points. This helps ensure that students make progress on their programs. The student's section list can appear on the following pages, which are both accessed from the student's Summary page.

Manage a student's Texas Success Initiative status from the student's Summary page. Requires a Texas State Reporting license.

Can add section schedules

Add one or more schedules to a section. For example, the section may meet daily for two weeks, then twice weekly for a time, and then once weekly. Or it may meet in different locations on rotation schedules.

Delete one or more schedules from a section.

See the Grading Controls view of the Manage Sections page. This includes grade scale, credit type, special GPA, grading periods and variable grading type.
