Academic Standing Definitions

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

Academic Standing definitions allow you to track certain achievements or disciplinary statuses for students in a selected term. To use Academic Standing codes, first define the code on this J1 Web page, then set up the rules that will determine which students this code applies to. After those steps are done, run the Academic Standing Update process in the Registration Reports and Operations module.

The components of an Academic Standing definition are the code, the description, and the category. All three fields are required, though you may choose the "no category chosen" option for the category. The code is a 1- or 2-character designation for this definition. The description is a 30-character field you can use to provide more information about this definition.

Category

The Academic Standing Update process updates two different fields:

  • Term Good Standing

  • Term Probation - Low SeverityExc

  • Term Probation - High Severity

  • No Category Selected

The category determines which field the Academic Standing Update affects: Term Honors or Term Academics.

Where Academic Standing Definitions Are Used

The definitions are used in the Academic Standing Update process and in the Academic Standing report. In Desktop, they're also available in these locations:

  • Student Term Summary by Division table

    • Desktop: Student Inquiry window, Summaries tab, Student Term Summary by Division Records grid

      • Term Honors (stud_term_sum_div.academic_honors)

      • Term Academic Standing (stud_term_sum_div.academic_probation)

    • (J1 Web: Student Inquiry information is planned for a future release.)

  • Student Master table

  • Desktop: Student Information window, Student tab, Student Master subtab (optionally included when running Academic Standing Update)

    • Honors (student master.cur_acad_honors)

    • Academic Standing (student master.cur_acad_probation)

  • J1 Web: Student Information Details page, Enrollment tab, Term Update Information heading

    • Honors

    • Academic Standing

The category determines which of these fields the Academic Standing Update affects.

The necessary permissions needed to define and edit honors are in the Registration Module Manager and Registrar default roles.

  1. From the Registration Administration hub, click Hub options.

  2. Click Manage Definitions, and select Academic Standing definitions.

  3. Enter characters, words, or phrases in the Quick Filters to limit the list of definitions.

  4. Click a heading to sort the list by that column.

Create Academic Standing Definitions

  1. Click the Create definitions button.

  2. Enter a unique Code.

  3. Enter a Description.

  4. If there is an Active option, select a status.

  5. Click either Save and create another or Create and close.

  1. Select the checkboxes next to the rows you want to export.

  2. From the Options drop-down, select Download to Excel. The Download to Excel pop-up opens.

  3. Select options for the Excel format and data columns.

  4. Click Download. Your .xlsx or .zip file is saved in the file location that you have set in your browser settings.
