Using Roles to Control Access to Events Features
Roles determine what users can and cannot do in J1 Web. Each role has specific privileges to different features and information available to those users assigned to it. Jenzabar provides standardized 'role templates' for each module. These templates can be copied and tailored to create new roles with varying permissions to control different levels of access. For example, you can set roles up according to your school's organizational or departmental hierarchy. Roles can have multiple users assigned to them and a user can belong to multiple roles.
Notice
Hermione is a work study student in your school's Public Relations office. She is frequently involved with setting up campus events, but should only have limited access to event management features. You can create a custom role based on the Events Staff role that allows Hermione to work with invitees and participants, but restricts her access to fees and external people.
Depending upon your school's configurations, J1 Web can interact with other products, including J1 Desktop, Campus Portal, and InfoMaker. Permissions established in those tools are honored in J1 Web.
Standard Roles
Jenzabar provides several module-specific roles for Events Management. In addition to the Events Management roles provided, Jenzabar provides a J1WebAdmin user that has limited general access to J1 Web.
The default roles for Events Management are listed below.
Events Module Manager
Events Coordinator
Events Staff
Events Viewer
Events Approver
Note
Customizations to standard roles will be lost when a product update is installed. We recommend that you create custom roles based on the standard ones provided and then tailor the permissions and assigned users as needed.
Custom Roles
System administrators and module managers with the appropriate role permissions can create new roles or copy standard roles and customize their privileges. Permissions associated with the custom roles determine levels of access users assigned to the role have within J1 Web. There is no limit to the number of roles your school can create.
Best Practices
There are various ways to set up roles and permissions. Jenzabar recommends that you establish a few roles with basic permissions to perform general operations, and then add roles as the need for more granular control of information arises. This approach allows module managers and system administrators to easily manage large teams with varying needs.
Tip
For more information about roles and permissions, see the System Administration help.
