Student To Do List

This is a block on the Advisee Spotlight page. Use this block to quickly identify tasks that need to be completed for an advising student. "To do" items can include attending an advising meeting, looking into a hold on the advisee's record, reviewing their academic plan, and clearing or approving them for registration. Some tasks may impact an advisee’s ability to register for classes making it important to get the tasks completed by their due date.
Tip
You may not be able to resolve a library fine that is causing a hold, but you can investigate and follow up to ensure it doesn't impact registration or graduation (depending on your hold definitions).
Types of To Dos
Review academic plans indicates the student has one or more requirements for an upcoming semester that still needs to be reviewed and planned.
Meeting shows an upcoming or missed meeting with the student.
Hold indicates the student has a registration or transcript hold that may impact their ability to register for classes or receive their transcript. Holds and their respective resolutions vary according to your school's hold setup.
Registration clearance indicates the student needs clearance in order to register for classes. This type of 'to do' only appears if your school requires registration clearance for the current year/term.
Registration approval indicates the student has registered for classes and are awaiting approval before they are officially enrolled. This type of 'to do' only appears if your school requires registration approval for the current year/term.
Click on the meeting link. The Advising Meeting notification windows appears.
Click Mark Attendance. The Edit Meeting page appears.
Mark attendance by moving the Attended? to Yes or No.
Enter any information about the meeting in the Meeting Note field.
Tip
Advisees cannot see the information entered here. Advisors can detail meeting follow ups and concerns. They can also note potential goals the student may want to set up, etc.
Click Save changes. The meeting information is updated.
Click on the "to do" link. A new web browser tab opens to the page where more task information is available.
Depending on the task, you can review more information or complete the task. For example, if the to do is a hold, you can review the hold information and contact the office responsible for lifting the hold. To complete the following to do types:
Click the Review academic plans link to access the advisee's academic plan page to review/plan one or more outstanding requirements for an upcoming semester.
Click the Meeting link to access the meeting overview pop-up. Access the Edit Meeting page to mark an advisee as having attended or enter meeting notes.
Click the Hold link to access the Holds block where you can review more information about the hold and any available hold resolution options. Holds and their respective resolutions vary according to your school's hold setup.
Click the Registration clearance link to access the advisee's Student Summary page, Registration clearance block where you can clear the student to register for classes. This option only appears if your school requires registration clearance for the current year/term/sub-term.
Click the Registration approval link to access the advisee's Student Summary page, Registration Approval block where you can review the courses a student has registered for and approve them as appropriate to ensure they are officially enrolled. This option only appears if your school requires registration approval for the current year/term.
Return to the original tab with the Advisee Spotlight page open.
You may not have any "to do" items for this particular student at this time. This can happen between advising cycles when meetings and registration have already taken place.
You completed the "to do" item.
Links are only available for "to do" items that haven't been completed. Once the "to do" item is completed, the link is no longer available.
You can only click on the names of those individuals who are active J1 Web users (Manage Users page).
The advisee may not have accepted the meeting (Campus portal | My Advisor Meetings).
The meeting may be more than 48 hours away.
There are a couple of reasons holds information may not be available.
The hold may have been cleared by another individual (J1 Web Academic Advising home page | Holds block or the Manage Student Holds page).
Only registration and transcript holds are shown. If the hold is not considered a registration or transcript hold, it will not appear here. (Hold types are set up by your school on the Holds Definitions page.)
You may not have the appropriate permissions to view holds information. You must belong to a J1 Web role with access to the student's holds information. For more information, contact your module manager or campus support team.
The student may be registering in more than one year/term or subterm and clearance or approval may be needed in each.
