Conduct Case Status Definitions

Conduct case status definitions are used to monitor the status of a case. J1 Web provides several default case status definitions, but you can also create custom definitions specific to your school's student conduct policies and procedures.

To manage conduct case status definitions, you must be in the Student Conduct Administrator or Student Life Module Manager role (or a role copied from one of those roles) with the "Can manage conduct case status definitions" permission enabled.

The following definitions are system-provided defaults. You can edit the Active status for these definitions, but you cannot change the code or description or delete them.

  • OPEN: The case is open.

  • CLOSED: The case has been closed.

  • APPEAL: The case is currently in appeal.

  • PENDING: A decision about the case is pending.

  • SANGIVEN: A sanction has been applied.

  • SANINPROG: A sanction is in progress.

Conduct case status definitions are stored in the ConductCaseStatusDefinitions table.

Conduct Case Status definitions are available as menu options when users update the status of a case.

On the Student Conduct Administration Hub page, click the Hub options drop-down and select Manage definitions > Conduct case status definitions. The Conduct Case Status Definitions page opens, displaying both the system defaults and any non-default definitions created for your institution.

For each definition, the list displays the code, a brief description, and whether or not the definition is active.

Default definitions are indicated by a lock icon and are highlighted in orange.

  • To narrow the list, enter characters, words, or phrases in the Quick Filters field and select Add '[your search term]'. You can apply more than one filter.

  • To sort the list by a particular column, click the column heading.

  1. On the Student Conduct Administration Hub page, select Manage definitions > Conduct case status definitions from the Hub options drop-down. The Conduct Case Status Definitions page opens.

  2. Click Create definitions. The Create Conduct Case Status Definitions pop-up opens.

    All fields are required.

  3. Enter a unique Code for the definition. The code can contain a maximum of 10 characters. It cannot be edited.

  4. Enter a brief Description of the case status. The description can contain a maximum of 60 characters.

  5. The Active field defaults to Yes. To make it inactive, select No from the drop-down. Inactive definitions are not available as options in related drop-down menus.

  6. Click Save and create another to save the new definition and clear the fields so you can create another. Click Create and close to close the window and return to the Conduct Case Status Definitions page. The new definition is added to the list.

For default definitions, you can only edit the active status. For non-default definitions, you can also edit the description. The code cannot be edited for either.

  1. On the Conduct Case Status Definitions page, click the Edit icon for the definition you need to edit. The Edit Conduct Case Status Definitions pop-up opens.

  2. If you are editing a non-default definition, update the Description as needed.

  3. Select Yes or No from the Active drop-down to make the definition active or inactive.

  4. Click Update to save the changes and return to the Conduct Case Status Definitions page.

  1. Select the checkboxes next to the rows you want to export.

  2. From the Options drop-down, select Download to Excel. The Download to Excel pop-up opens.

  3. Select options for the Excel format and data columns.

  4. Click Download. Your .xlsx or .zip file is saved in the file location that you have set in your browser settings.

You might not have the necessary permissions to manage conduct case status definitions. To see this option in the Hub options drop-down, you must be in the Student Conduct Administrator or Student Life Module Manager role and have the "Can manage conduct case status definitions" permission enabled.
