Employee Administrator Permissions

The default Employee Administrator role is for your school's Employee Module Manager responsible for managing settings, holiday schedules, and payroll calendars.

Can manage blocks

Access block settings on the Employee Administration Summary, Employee Summary, and Holiday Schedule pages. These settings let users add and update custom content blocks as well as remove, activate, deactivate, and reorder Jenzabar-provided and custom content blocks on the page.

Can add/edit W-2 settings

View Annual Statements: For employees who have opted in to receive electronic W-2s, set the date that each tax year's W-2s become available to them. Administrators can control the availability of each year's W-2s to employees who have opted in to receive them electronically.

Employee Blackout Period: Set a period of time in which employees can't change their W-2 delivery method. Administrators can prevent employees from making changes to their W-2 delivery method during a certain period of time so your school has time to prepare and mail printed statements.

Electronic Consent Text: Add or edit disclosure text employees must read before opting in to receive electronic W-2s. Administrators can provide employees all the necessary information about electronic W-2 delivery, allowing them to make an informed decision.

Can add/edit 1095-C settings

View Annual Statements: For employees who have opted in to receive electronic 1095-Cs, set the date that each tax year's 1095-Cs become available to them. Administrators can control the availability of each year's 1095-Cs to employees who have opted in to receive them electronically.

Set up standard timecard features including timecard and overtime options for all employees and supervisors and helps ensure consistent timekeeping methods are used.

Can view employee administrator calendar

View timecard approval deadlines for each pay group/pay period combination.

View overview information for employees by pay group or type/status.view overview information for employees by pay group or type/status.

View an employee's years of service and current positions.

Holidays

Can manage calendar items

Create and edit calendar items to appear on employee calendars, specify which calendar items are available as holidays, view the default calendar items.

Can create and edit holiday schedules

Define holiday schedule periods and add specific holidays. These appear on employee timecards and calendars.

Can view published holiday schedules

View all the details of a published holiday schedule on one overview page.

Note

If administrators have permission to create & edit holiday schedules, this permission is mandatory but administrators that don’t have permission to create & edit can be granted permission to view.

Payroll

Can view payroll calendar

View the payroll calendars created in J1 Web Employee. Access and view existing pay periods and pay schedules on the Payroll Calendar page. They can’t create payroll calendars or edit existing ones unless the Can create/edit payroll calendar permission is also granted.

Note

If the Can create/edit payroll calendar permission is granted, this permission can’t be turned off. If you want to remove Employee Administrators’ ability to view payroll calendars, you must first deselect the Can create/edit payroll calendar permission.

Can create / edit payroll calendar

Create and edit payroll calendars.

Note

If this permission is granted, the Can view payroll calendar permission can’t be turned off. If you want to remove Employee Administrators’ ability to view payroll calendars, you must first deselect the Can create/edit payroll calendar permission.

Can manage & approve timecards

Edit and approve timecards for employees on the Manage Timecards page. When certain criteria are met, administrators can undo approval to allow employees to make additional edits.

If the Manage Timecards permission is not granted, administrators work with employee timecards in J1 Desktop. 

Important

Supervisors can’t undo approval of timecards, so granting this permission is the only way to make the undo approval feature available in J1 Web Employee.

Can manage leave requests

Access the Manage Leave Requests page where administrators can review, request, and approve, or deny leave requests. Administrators have access to their employee's leave requests as well as any other employees in their Pay Group.
