Student Progress Block

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

This block is on the Advising Administration Summary page. It lists any advisee records that are locked. Records lock when an advisor or office is making updates to ensure no one else can make updates at the same time. Occasionally an advisee record will be locked for a longer period of time. This may be because a user forgot to close the record or there is an issue.

This block provides two kinds of information about student progress—the automated Compute Student Progress process and Student Progress Locks.

This block is on the Advising Administration hub home page by default, but you can pin it to other pages, too.

Tip

Prior to J1 2023.2, this block was named Student Progress Locks, and it contained only information about locks.

Automated "Compute Student Progress" Process

  • Number of students currently requiring recalculation: This is the number of students awaiting recalculation. The count is refreshed every 30 seconds, which may be during a recalculation run or between runs. There's also a link to the Manage Advisees page where you can run the recalculation manually, if necessary.

  • Last recalculated: The date and time the Compute Student Progress process last ran.

  • Errors: The number of errors currently found in the Compute Student Progress process. Example: students who have no aims. Click the link to open the Application Log and review the errors.

  • Recalculation frequency: The number of minutes between runs of the process. You can enter a number from 1 to 5.

    The other settings for the automated Compute Student Progress process are on the Advising Settings page.

    Tip

    If you need to run the Compute Student Progress process manually, you can do it on the Manage Advisees page.

  • Unlock all: Unlocks all the locked records

  • Unlock: Unlocks the particular student's record

  • Student Locked: The student's name is a link to their Summary page where you'll find their contact information.

  • How Long Locked: Time since the record was first locked

  • Locked By: The advisor or administrator's name is a link to their Summary page where you'll find their contact information.

  1. On the main Navigation panel, click Advising Administration. The contents of the hub appear.

  2. Click Summary. The Summary page appears.

  3. Scroll down or click the anchor link to the Student Progress block.

  1. Click the link to the Manage Advisees page.

  2. Select one or more students.

  3. Click the Reporting and Processes drop-down, and select Compute Student Progress.

  4. In the pop-up, select options, and click Update.

  1. In the Errors field, click the Application Log link. The Review Application Logs page opens to the Advising view. Each run of the Compute Student Progress process has a row on the list.

  2. Click the Expand icon Expand Icon on a row.

  3. Click the View details button. The errors are listed including the names of the students whose records have errors.

  1. Click the link to the Edit button Edit Icon in the Recalculation frequency field.

  2. Enter a number (of minutes) from 1 to 5.

  3. Click Save.

Click Unlock. The lock on the student's record is removed. The record is available for updating.

To unlock all the locked records at once, click the Unlock all button. All the locked records are unlocked.

Click the student's name. The Student page appears showing any available contact information.

Click the name of user in the Locked by column. The Person page appears showing any available contact information.

Another advisor or office is making updates to their record. If the record has been locked for several days, they may have forgotten to close it.

The lock placed on the record is removed, and now the record can be updated.

Click the + icon located next to the locked advisee's name. The Locked by information appears. To contact the person who has locked the record, click on their name. Their personal page appears which includes contact information.
