Attachment Files
Important
Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.
Communications coming into the system may include file attachments. Files are scanned for viruses and temporarily stored within the J1 Web file system. Users can decide if they want to save the files more permanently to document storage. Files not saved to Document Storage are automatically deleted by a scheduled job.
This setting determines where file attachments will be stored temporarily and how frequently you want the temporary files to be deleted. Users are sent a notification before the files are deleted so they have an opportunity to save the ones they need.
At this time, Twilio only supports JPEG, PNG, and GIF text attachments, which may impact your decision about how long to store temporary attachments.
Log in to J1 Web as a System Administrator.
Access the System Administration hub, Communications page.
From the SMTP Configuration, Texting Attachment Files section, click Edit this section.
In the Temporary attachment file location, enter the name for a temporary attachment folder.
In the Delete temporary attachment after days, enter the number of days you want to keep the temporary files after receiving. Must enter a number greater than zero.
To notify the person working with the interaction attachment that the attachment is about to be deleted:
Enable the Delete Notifications option by clicking on it.
Use the Timing of delete notifications options to determine when the user will be notified the attachment files are about to be permanently deleted. This gives them an opportunity to save any files they want to keep to Document Storage.
Notification text shows you the message that users will see before the files will be deleted: Temporary attachment files will be deleted after 6 hours. Number of messages with attachments to be deleted: X
Click Save this section.
Unsaved attachments are permanently deleted.
Currently, Twilio only supports JPEG, PNG, and GIF text attachments. Users that want to store these attachment types more permanently in the system will need the appropriate Document Storage permissions.
