Who Needs Which Roles in J1 Web Registration?

Your school's setup may be unique, so use these ideas as a reference, a general guide that you can customize to suit your school's needs. Permissions in each role are optional, so you can customize them precisely.

Tip

Make copies of the default (template) roles. Use the copies, and leave the default templates as they are. You can make as many copies of a role as you need, so you can customize them precisely for the people you assign them to.

Course Information - Access to All Courses

Registration staff

View courses and rosters, report attendance, view and enter grades, and grant overrides.

Department Head Course Access

Department heads or their designees

The permissions of the Course Information role plus student information. Assigned by department.

Faculty - Access to Courses and Students by Course

Instructors

Grant overrides, report attendance, enter grades, manage textbooks, approve graduation status, edit and approve academic plans, and view student information.

Registrars

Registrar

Most of the permissions above plus process attendance, manage grade change history, set up grade entry, manage faculty, manage catalog courses and course sections, manage student information, manage definitions and reports. Register, drop, and withdraw students.

Registration - Access to All Students

Registration staff

View student information.

Registration Module Manager

IT, registrar, or their designee

Most of the permissions of the Registrars, plus registration settings, academic periods, registration setup, and managing faculty. Register, drop, and withdraw students.

Registration Override and Access Control

Registrar and/or module manager

This is the full set of permissions for overrides.

Registration Process Manager

Registrar or their designee

Run processes such as recalculations for academic standing, academic record, full-time/part-time status, and so on.

Registration Reporting Manager

Registrar or their designee

Run registration reports.
