Timecard Approval Cutoff Date
Use these settings to determine how many days after the Employee Time Entry Cutoff date a supervisor has to edit and approve their employees' timecards to payroll.·
All – All pay groups have the same number of days after the employee time entry cutoff date to edit and approve employee timecards.
By Pay Group – You can define different number of days past the employee time entry cutoff date for each individual pay group.
From Hub options, select Manage administrator settings.
On the Timecard Approval Cutoff Date section, select the All option.
Click the Edit icon next to All.
Enter the number of days after the end of the Time Entry Cutoff Date you want to allow supervisors to edit and approve employees' time.
Click Save. Your supervisors, regardless of pay group, have the specified number of days to edit and approve their employees' time after the end of the Time Entry Cutoff Date.
From Hub options, select Manage administrator settings.
On the Timecard Approval Cutoff Date section, select the By Pay Group option.
Click the Edit icon next to the pay group.
Enter or update the number.
Click the Save button. Your supervisors in that pay group have the specified number of days to edit and approve their employees' time after the end of the Time Entry Cutoff Date.
Repeat steps 3 - 5 for each pay group.
From Hub options, select Manage administrator settings.
On the Timecard Approval Cutoff Date section, update the All pay groups or By Pay Groups options as needed.
Update the cutoff date by clicking the Edit icon next to the current number of days and enter the new number you want to use.
Click the Save button.
If you are changing from All to By Pay Group, you must edit each pay group individually.
On the supervisor's Approve Timecard grid the Approval Status column displays the cutoff approval dates.
If a timecard is not approved and submitted by the cutoff date, the supervisor's administrator can make changes on their Manage Timecards page, enter time in J1 Desktop, or change the cutoff deadline so the supervisor can enter time. Changing the cutoff date affects the entire group. If you have more than one supervisor in a pay group, all supervisors can alter their employees' timecards.
After a supervisor approves a timecard, but before it's processed for payroll, an administrator can undo approval for that timecard on the Manage Timecards page.
