Advisor Meeting Status Page

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

Use this page to monitor advisor meetings and ensure advisors meet with their advisees during the selected advising cycle. You can see how many appointments have been held and how many remain outstanding, search for and contact an advisor, and see only those advisors who have met with all their advisees and are done with advising meetings or all those advisors who not met with all their advisees and have remaining advising meetings.

From the Advisor Meeting Status Block on the Advising Administration hub Summary page:

  1. Click the View all advisors link.

  2. The Advisor Meeting Status page opens.

From the Advising Administration hub's Hub options drop-down:

  1. Click Advising Analytics.

  2. Select Advisor Meeting Status. The Advisor Meeting Status page opens.

  1. Click the percentage of advisors link underneath the Advisors not done with all meetings status bar.

  2. Advisor meeting information appears at the bottom of the page where you can access additional information and search, filter, and sort by student and advisor.

  1. Click the percentage of advisors link underneath the status bar you want to view. Advisor meeting information appears at the bottom of the page.

  2. Click on the number link in the Advisees Not Met With column. The advisor's Meeting Status page appears where you can search for a particular advisee or link to an advisee's page if available.

  1. Click the percentage of advisors link underneath the status bar you want to view. Advisor meeting information appears at the bottom of the page.

  2. Type the advisor's name in the Filter these advisors field or sort the advisors by clicking on any of the column headings.

  2. Locate the advisor you want to contact.

  3. Click on the advisor's name. The selected advisor's Person page appears showing any available contact information.

From the advising cycle drop-down options, select the appropriate advising cycle. The advisor meeting status information for the selected advising cycle appear.

  • The meeting period for the selected advising cycle may have ended (J1 Web Advising Cycles page).

  • The user may be between advising cycles (J1 Web Advising Cycles page).

  • The next upcoming advising cycle may not have been published (J1 Web Advising Cycles page).

  • Advisees may not have accepted advising appointments using your Campus Portal's My Advisor Meetings.

  • Advisors may not be tracking attendance using the Attended option on the J1 Web Advising Meeting page.

  • Your advisors may not have advisees for this advising cycle. The year/term or subterm associated with the advising cycle must be associated with a web group that has the advisor's advisees associated with it (Year / Term / Subterm Definitions page, Year/Term Control for Registration Control Groups or Subterm Control for Registration Control Groups tabs. Advisors are not listed in alphabetical order. They are listed in order according to the number of meetings they have not had with the advisees. For example, advisors who have not met with any of their advisees are listed first, then the advisors with largest number advisees not met with appear, etc.  This allows you to see the advisors who are in most need of meeting with the greatest number of advisees before the advising cycle ends.
