Student Conduct Hub

From the Student Conduct Hub page, users can create and manage incident reports, cases, and sanctions, and generate charges for fines and send them to a student's account.

Access to the options on the Student Conduct Hub page varies depending on the user's role. A Resident Advisor, for example, needs to submit incident reports, but does not create cases or apply sanctions. A Title IX Coordinator, on the other hand, needs to be able to edit, reassign, and merge incident reports; create, edit, and reassign cases; and edit and apply sanctions.

The following Student Life roles include permissions that have to do with incident reports and cases. Click the role name to see a complete list of permissions for that role.

An incident report is tied to a specific incident, which might have more than one involved party. A case is tied to one involved party; it might include more than one incident report and multiple potential violations. A case gives student conduct staff a way to view and manage all aspects of the incidents a student is involved in, from case notes to disciplinary contacts to sanctions.

For example, Jack and Diane attend a party on campus. Both Jack and Diane are involved in underage drinking, but Jack also gets into a fight with another student. Two RAs write up separate incident reports about the party. Both note that there was underage drinking at the party and cite Jack and Diane as involved parties in their incident reports. Only one of the RAs, however, witnessed the fight, so her report is the only one that describes that event.

In order to keep all the information from the incident reports in one place, the administrator handling the incident chooses to merge the two reports, with the report that includes details about the fight designated as the key (or primary) incident. The merged incident report is assigned to the Residence Life conduct department and cannot be seen by anyone outside of that office.

Note

Users can choose to merge incident reports or keep them separate and then relate them both to the same case.

Next, two cases are created from the merged incident report, one for Jack and one for Diane. Because Diane was only involved in underage drinking, that is the only violation associated with her case. Jack’s case, however, includes two violations—underage drinking and fighting—that could have sanctions applied.

Both cases will be listed on the Case Management page. From there, users handling the cases can click the case number to open the case summary page, where they can view and manage incident reports; case documents, notes and interactions; contact information; and violations and sanctions.
