Faculty Achievements
The Achievement pop-up opens from the Manage Faculty page. Use it to view and manage faculty members' achievements.
The pop-up has a view for each kind of achievement: Education and Affiliation. The Education view is for the instructor's degrees, certificates, and professional credentials. The Affiliation view is for the instructor's membership in academic societies.
In each view, you can create, edit (including user-defined fields), download, or delete achievements. You can also view, add, edit, and delete comments for each achievement.
Use the quick filter to search for specific achievements. The filter searches all fields except the Comments and the Actions drop-down.
The Education view and the Affiliation view have different sets of fields.
Education Type, Description: Selected from options defined in Desktop. On the Faculty Information window, right-click on Education Type, and select Maintain Definitions. Education Type Definitions are planned for a future release of J1 Web, too.
Note
Education Type is required for Education achievements.
Education Received: Selected from options defined on the Maintain Table Values page, column name "ed_received (Education Received)".
Years Completed: Up to a 2-digit numeral.
Comments: Up to 990 characters. Multiple comments are allowed.
School ID and School Name (Where Earned): Selected from schools defined on the Organizations page. School Name can be up to 128 characters.
Country: If the school's address is in your system, this is populated from the Organization Master table. Otherwise selected from countries defined on the Maintain Table Values page, Column Name "country (Country).
Address Information: If the school's address is in your system, this is populated from the Organization Master table. Otherwise, entered in the Create Achievement pop-up.
Address: Up to 255 characters
City: Up to 30 characters
State: Selected from options defined on the Maintain Table Values page, Column Name "state (State)"
Zip: Up to 12 characters
Highest Earned Degree: Yes or No. Checkbox selected in the Create Achievement pop-up. Yes indicates the highest degree this instructor has earned so far.
Major 1, Major 2: Up to 128 characters. Entered in the Create Achievement pop-up.
Minor 1, Minor 2: Up to 128 characters. Entered in the Create Achievement pop-up.
Completed Month and Year: Year entered and month selected in the Create Achievement pop-up.
Honors: Selected from honors defined on the Honor Definitions page.
Graduated: Yes or No. Checkbox selected in the Create Achievement pop-up.
Certification / Degree State Type: Selected from options defined in Desktop. On the Faculty Information window, right-click on Cert/Degree State Type, and select Maintain Definitions. Certification / Degree State Type Definitions are planned for a future release of J1 Web, too.
Terminal Degree: Yes or No. Checkbox selected in the Create Achievement pop-up.
License Number: Up to 30 characters entered in the Create Achievement pop-up.
Date Expires: Entered in the Create Achievement pop-up.
Affiliation: Entered in the Create Affiliation Achievement pop-up. Required for Affiliation achievements. Up to 512 characters.
Start Date, End Date: Entered in the Create Affiliation Achievement pop-up.
Comments: Up to 990 characters. Multiple comments are allowed.
Affiliation Achievement information is stored on the Employee Professional Affiliation table (empl_prof_affil).
Education Achievement information is stored on the Education Earned History table (educ_earn_hist).

In Desktop, you can work with faculty achievements on the HR Employee Master via Payroll window, Achievements tab.
Permissions needed are "Can view faculty achievements" and "Can manage faculty achievements". Both are available in the Registrars role and roles copied from it.
On the Manage Faculty page, on a faculty member's row, click the Actions drop-down, and select Achievements. The Achievements pop-up for that instructor opens.
In the Achievement Type field, select either Education or Affiliation. (Education is selected by default.
Use the Quick Filters to narrow down the list, or click a column heading to sort by that column.
Click the Expand icon
to see all the fields.
The Comments icon
shows the number of comments. (If there isn't a number, there are no comments yet.)
To view the comments, click the Comments icon

To edit a comment, click the Edit icon
. Make your edits, and click the Save button.
To mark the comments as read, click the Mark all read button.
To add a comment, click the New comment button. Enter a comment up to 990 characters. Click the Add button.
To attach a document, click the Attach button. Select a file to attach, and click Open.
In the Achievement Type field, select either Education or Affiliation.
Click the Create Achievement button. The Create Education Achievement or Create Affiliation Achievement pop-up opens.
Fill in the fields. Use the information in the Fields section above for guidance.
Click either Save and create another or Create and close.
In the Achievement Type field, select either Education or Affiliation.
Click the Actions drop-down in a row, and select Edit. The Edit Education Achievement or Edit Affiliation Achievement pop-up opens.
Edit the fields. Use the information in the Fields section above for guidance.
Click the Update button. Your edits are saved, and the Edit pop-up closes.
In the Achievement Type field, select either Education or Affiliation.
Click the Actions drop-down in a row, and select User-Defined Fields. The User-Defined Fields pop-up opens. User-defined fields are there is your system administrator has created any.
Enter or edit information.
Click the Save button. Your edits are saved, and the pop-up closes.
In the Achievement Type field, select either Education or Affiliation.
Select the checkbox for one or more achievements.
Click the Options drop-down, and select Delete. The Delete Achievements pop-up opens. The selected achievements are listed in either the Ready to Delete or the Unable to Delete category.
To remove an achievement from the Ready to Delete category, click the Remove icon
.
Click the Yes, delete button. The achievements are deleted, and the pop-up closes.
In the Achievement Type field, select either Education or Affiliation.
Select the checkbox for one or more achievements.
Click the Options drop-down, and select Download to Excel. The Download to Excel pop-up opens.
Select the options for the Excel format and data columns.

Workbook Creation Options: This option lets you choose how you want the data to be organized when it's exported. If you are exporting a large number of rows, you may want to separate the data into different worksheets or even workbooks. Once you select this option, the Separate (Sheets or Workbooks) By drop-down becomes available so you can choose the groupings for each worksheet or workbook.
Separate (Sheets or Workbooks) By: This field becomes available when you choose to organize your export into multiple worksheets or workbooks. In general, you'll have the option to separate the data based on the columns. You will only see options for the visible columns.
Note
For example, if you are exporting a set of definitions, you might choose to organize the data into two workbooks: one for active definitions, and one for inactive definitions. Do this by selecting the Active column in this drop-down. All of your rows designated as active will be in one workbook, and the inactive ones in a separate workbook.
Workbook Format: This section lets you set some Excel display options for your data. For more information about each of these features, consult Microsoft Excel help.
Autofit columns: Fits column width to the data so that fields are not truncated.
Turn on filtering: Turns on the AutoFilter feature, which allows you to show only rows that meet your selected criteria.
Freeze Top Row: Your worksheet displays the column title in the first row by default. Selecting this option keeps the top row at the top so that as you scroll down through your data, the column headings remain displayed.
Show totals for numeric columns: If selected, this option includes the sum of a column of numbers at the bottom of that column.
Columns to Include: These options are specific to the page you are viewing, so they will vary. You will only see options for columns that you can see on the page. All of the columns are selected by default, but you can deselect any of the columns you don't want to include.
Click Download. Your .xlsx or .zip file is saved in the location that you have set in your browser settings.
