Forgiven Course Recalc Definitions

Use this page to define how forgiven courses and courses that are repeated but not forgiven will apply to students' hours and GPA. This page is one of several steps in setting up how repeat courses are managed. Several other steps are on the Repeat, Transcript, and GPA Settings page.
Tip
Not Forgiven course instances are also called Repeat (Not earned) instances. They're instances that aren't forgiven but also aren't designated as the Repeat that counts. Many schools use the # symbol to represent them.
Each definition represents a type of repeated course. Two are provided:
Forgiven Course Logic

You can create, edit, and download definitions, and you can delete all but the provided definitions.
Desktop Location
You can manage forgiven course recalc definitions in Desktop, too, on the Forgiven Course Recalc Definition window. Definitions created and edited in Desktop are available in J1 Web and vice versa.
Along with these forgiven course recalc definitions, there are settings in Repeat, Transcript, and GPA Settings page that play a role in determining how repeat courses are handled.
Database Location
The definitions are stored on the Forgiven Course Recalc Definition table (forgiven_course_recalc_recalc_def.forgiven_course_recalc_code).
Where the Definitions Are Used
Forgiven Course Recalc definitions are used in calculating various GPAs when students have repeated courses.
GPA types include these:
Term
Career
Alt1 (or A1)
Alt2 (or A2)
Note
The Career, Alt1, and Alt2 GPAs can be relabeled to suit your school's purpose for them. See the "Repeat, Transcript, and GPA Settings)" topic.
All fields are required.
Code
Up to 25 characters. Appears only here.
Description
Up to 63 characters. Appears in drop-downs where you select a definition.
Active
Set to Yes by default. You can set to No if you don't want this definition available for GPA calculations.
Add to Term Hours
These settings are for individual terms but not the student's career hours and GPA.
Attempted hours, Earned hours, and GPA are set to Yes by default, but you can change any or all to No.
Add to Career Hours
These settings are for the student's career hours and GPA. You can change the Display Name for "Career" on the Repeat, Transcript, and GPA Settings page.
Attempted, Earned, and GPA are set to Yes by default, but you can change any or all to No.
Add to Alt1 Hours
This is visible only if it's selected on the Repeat, Transcript, and GPA Settings page. There you can also change the Display Name for "Alt1".

Add to Alt2 Hours
This is visible only if it's selected on the Repeat, Transcript, and GPA Settings page. There you can also change the Display Name for "Alt2".

Permissions
Permission to manage forgiven course recalc definitions is available in these roles:
Registrar
Registration Module Manager
The permission required is "Can manage forgiven course recalc definitions".
From the Registration Administration hub, click Hub options.
Click Manage Definitions, and select Forgiven course recalc definitions. The Forgiven Course Recalc Definitions page opens.
To filter the definitions, enter a phrase in the Quick Filters field. To remove a filter, click its Remove icon

To sort the definitions, click the arrows at the head of the column you want to sort on.
To see all the information, click the Expand icon
.
Click the Create definitions button. The Create Forgiven Course Recalc Definitions pop-up appears.
In Code, enter up to 25 characters.
In Description, enter up to 63 characters.
Under Add to Term Hours, Add to Career Hours, Add to Alt1 Hours, and Add to Alt2 Hours, the default setting for Attempted, Earned, and GPA is Yes. If you don't want those counted for this definition, you can set any or all to No.
Click Create and close or Save and create another.
Click the Edit icon
on the row of a definition. The Edit Forgiven Course Recalc Definition pop-up opens.
Make your changes.
The Code is not editable, but the other fields are.
For Description, enter up to 63 characters.
All the other fields are Yes/No drop-downs that default to Yes.
Click Update.
Select the checkboxes next to the rows you want to export.
From the Options drop-down, select Download to Excel. The Download to Excel pop-up opens.
Select options for the Excel format and data columns.
Click Download. Your .xlsx or .zip file is saved in the file location that you have set in your browser settings.
If a definition is already in use, then some information or process depends on it, so it can't be deleted.
"Career", "Alt1", and "Alt2" can be replaced by a Display Name. This is managed on the Repeat, Transcript, and GPA Settings page in the GPA Configuration section.
They appear only if they're selected on the Repeat, Transcript, and GPA Settings page.
