Before You Get Started in Workflow

To prepare for implementing Workflow, your Module Managers and IT Administrator should work together to complete the following tasks:

  • Learn how to set up and use Workflow by watching the videos available in our Learning Center https://learn.jenzabar.com/pages/99/workflow.

  • Identify and create a list of workflows and processes currently in place at your school. This provides a baseline for creating and prioritizing the workflows you will create in J1 Web.

  • Consider the automation plans and interactions that might be needed for a workflow. Automation plans can be initiated from workflow item rules which start a series of interactions for communicating information and assigning To Dos.

  • Consider which data sets might be needed for assigning workflows and workflow To Dos, evaluating data that can be evaluated to drive workflow requirements, and receiving workflow-related communications and interactions.

  • Determine who on campus should be responsible for creating workflows, associating workflows to individuals and objects, tracking workflows, and completing workflow tasks. This helps determine which roles and permissions your users will need.

     

    Jenzabar recommends a small number of users be responsible for creating workflows and automation plans to ensure they don’t overlap and overwhelm students/staff with multiple workflows at the same time.

  • Identify a small segment of staff who are comfortable testing workflows.
