Assign Campus Portal Logins and Passwords in J1 Desktop

Users must have a Campus Portal login and password to access certain features. Depending on your version of JICS and J1/EX, Campus Portal logins may be handled differently. See the table below for details about how passwords are maintained.

Use the Maintain Web Access Code window to manage Campus Portal logins and access codes.

Campus Portal users manage their password from their Campus Portal profile settings. However, to transfer users from the Desktop to Campus Portal, a placeholder access code must be entered on the Maintain Web Access Code window.

This means that any newly added Desktop users who will also access the Campus Portal need to be added to this window and assigned a placeholder password. Placeholder passwords can be any random assorted combination of numbers and letters. They are never seen or used by users; they simply ensure the logins are transferred correctly.

J1 2021.2 and above

Campus Portal users manage their password from their Campus Portal profile settings. A placeholder access code is not required on the Maintain Web Access Code window.

  1. Open the Maintain Web Access Code window in J1 Desktop.

    Tip

    Ensure that the role does not already exist for the ID by filling in the ID # and/or Role ID columns in the Selection Criteria area of the window and then clicking the Search button. Any roles matching the entered criteria will be displayed.

  2. Right-click at the bottom panel of the window and select Add Row.

  3. Enter the ID number for the user you are assigning a Campus Portal login and password.

  4. Press the Tab key to display the user's name.

  5. Enter a Campus Portal login name in the Login column.

  6. Enter a Campus Portal login password (PIN) in the Access Code column.

  7. Enter the date and time when the user's Campus Portal login and password will no longer be valid in the Expiration Date column.

  8. Enter the maximum number of invalid login attempts allowed in the Invalid Login Count column.

    Note

    If three invalid login attempts are allowed and a user unsuccessfully logs in twice but successfully logs in the third time, this automatically returns to zero. However, if the user is locked out, this column can be reset to zero so that the user can attempt additional logins.

  9. Save.

  1. Open the Maintain Web Access Code window in J1 Desktop.

  2. Enter the user's ID number in the ID # column.

    Tip

    Right-click the ID # field and select Advanced Search to find the ID number.

  3. Click the Search button. The user is displayed in the bottom panel of the window.

  4. Update the information in the Login, Access Code, Expiration Date, and Invalid Login Count columns as needed.

  5. Save.

  2. Enter the user's ID number in the ID # column.

    Right-click the ID # field and select Advanced Search to find the ID number.

  3. Click the Search button. The user is displayed in the bottom panel of the window.

  4. Select the user.

  5. Right-click and select Delete Row.

  6. Save.
