Communication Management Base Permissions

Communication Management Base

The default Communication Management Base role determines which users can access and work with different types of interactions, data sets, and Notepad and Message archives.

  • Anyone who will be reviewing communications associated with an individual or organization from the Interaction Inventory.

  • Anyone responsible for creating interaction templates.

  • Anyone responsible for building communication workflows with automation plans.

  • Anyone responsible for creating and managing schedules.

  • Anyone responsible for managing SQL and PBL generated data sets. Data sets are used throughout J1 Web and are not limited to Communications.

J1 Web users do not need to be in a Communication Management role to send emails and text messages, add notes, and assign To Dos. For general communications purposes, users only need to be in a role with Interaction Access permissions enabled. Features throughout the system that include create communication options are automatically available.

Archive Permissions

Users in this role can. . .

Can view Notepad Archive

View notepad actions applied to individuals/organizations in the Desktop. Users that need a comprehensive view at the interactions associated with a record in the system should have this permission enabled.

Can view Message Archive

View historical messages sent in previous versions of J1 Web.

Interaction Permissions

Can add or edit interactions

  • Create interaction templates using the Define Interaction processes

  • Update interactions using the Edit option on the Interactions page

Can delete interactions

Delete inactive, unused interactions on the Interactions page.

Can view interactions

View interactions on the Interactions page. General system users that aren't responsible for managing interactions do not need this permission to see interactions. General users only need to be in a role with Interaction Access enabled.

Can apply interactions

Apply, send, and requeue active interactions from the Interactions page and during the define interaction process. General users creating communications do not need this permission to apply/send interactions.

Can create system event driven interactions

Create and update interactions triggered by various processes and events in the system. For example, users can create an email interaction that sends students an email when they send a text. These interactions are created using the Define Interaction process and updated using the edit option from the Interactions page.

Can manage blocks

Access block settings on the Communication Management hub page. These settings let users add and update custom content blocks as well as remove, activate, deactivate, and reorder Jenzabar-provide and custom content blocks on the page.

Can manage settings

  • Assign one or more users to phone numbers Communication Management uses for sending and responding to text interactions.

  • Change or remove users from phone numbers.

  • Manage the grace period for shared numbers. Grace period determines how long a shared number will be locked when the number is in use.

  • Determine the maximum number of pages that can be downloaded from a document interaction's output and saved in your document storage system or system file.

  • Enable Chatbot to reply to incoming texts for one or more phone numbers.

  • Assign Chatbot categories to the appropriate Chatbot interactions to control who can view the exchanges. Can also assign specific users to Chatbot categories so they can evaluate imported exchanges in their Interaction Inbox.

Can modify and delete editable notes

Update and delete notes added to interactions.

Can view Configuration Status block

View the status of Communications configurations to identify issues and access help topics with troubleshooting information on the Communication Management hub page. Users can see configuration information for system settings, SendGrid and Twilio settings, and data sets.

Can view interaction inventory

View interactions associated with an individual/organization in the system that they have access to in a centralized location.

Communication Contact Permissions

Starting with 2024.1 Communication Contact imports are handled using the Import Processing Queue feature. Users must be assigned to a Data Management role with the "Can import files" permission enabled.

Can view communication contacts

View communication recipient lists and contact information based on data sets and review recipient analytical information.

Can create contacts

Manually add contacts from the Communication Contacts page. Users step through the process of adding an individual to the system as an external person they can receive communications.

Can import communication contacts

Bulk import external persons/contacts that can be used for recipient lists from the Import Communication Contacts page.
