Set Up Employee Roster
Important
Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.
Ensure the following J1 Desktop configurations are in place so supervisors can see the appropriate employees on the Employee Roster page and Employees can see and contact their supervisors from their Employee hub.
HR Employee Master (via Payroll or Personnel) window, Positions tab, for each position:
Type is assigned (e.g., salary, hourly, or workstudy).
The Show on Web? checkbox is selected.
A supervisor is assigned.
The status is Active.
Start and End Dates are active.
Tip
If the employee has a start or end date, those dates must be current. If an employee has a future start date, that position will not appear as a timecard for the employee. Similarly, if a position has an end date that has passed, the position will no longer appear. You can use NULL in both the start and end dates if you always want the timecard to appear for that position.
Supervisors window:
Any Supervisors assigned to an employee must be listed on this window.
HR Employee Master (via Payroll or Personnel) window, Positions tab:
A Supervisor is assigned to all positions for any active employees they supervise.
HR Group Security (via Payroll or Personnel) window:
Group IDs that are not assigned a Group code or Subgroup code have access to all employees with pay groups.
Specify Group codes or Subgroup codes to limit which employees an J1 Desktop group can access.
Tip
If your school already uses the Group and Subgroup codes, make sure the Employee Administrators are assigned to the correct Group IDs on this window.
