Create Event: Promotional Information
Use this page to enter optional promotional information to describe the event to participants and invitees. You can enter a more detailed event description, designate a promotional information point of contact, and select who will be able to view event promotional information. You can also choose to show the event on Campus Portal calendars available to faculty, students, and staff.
Note
If the event is designated private and no promotional information is entered, the Promotional Information block does not appear on the Event page.
When creating multi-part events, you can choose to define promotional information at the main event level and/or at each sub-event level. For example, your school may have a Homecoming main event with a parade sub-event that has promotional information and a Phi Beta Delta tailgating sub-event that does not have promotional information.
Note
Events won't display until they are scheduled.
In the Promotional Name field, enter the promotional name of your event.
Note
If you do not enter a name here, the original event name will be used.
In the Promotional Summary field, enter an overview of the event.
Tip
If you are publishing this event to a Campus Portal calendar, complete the Promotional fields to ensure the event information can be viewed by Campus Portal users.
In the Promotional Description field, enter a description of the event.
You can also add links to your description. To add a link:
Click the link icon to open the Insert Link pop-up window.
In the URL field, enter the web address you want to include.
In the Text to display field, enter the text you want to use to represent the link.
Click the OK button.
In the Weather Contingency Details field, enter any plans your school may have in place if weather impacts the event.
Tip
This is particularly helpful if the event is located outdoors. Event participants will be able to see this information.
In the Promotional Point of Contact fields, enter the name and contact information for the person responsible for handling promotional responsibilities. Invitees may contact this person for more information about the event, travel information, etc.
From the Audience drop-down, select who the event is primarily geared towards (e.g. staff, students, or the general public).
In the Promotional Calendars field, start typing a Campus Portal calendar name and select the names of the Campus Portal calendars to publish the event to. Faculty, staff, and students will be able to view the event and its information on the Campus Portal calendars they have access to.
In the Promotional Calendar Tags field, click on the field and select one or more calendar tags from the drop-down list.
In the Event Display Start Date, enter the date the event will be published on the promotional calendars selected.
Click Continue.
