Academic Standing Update

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

Use this window to update the academic honors and probations assigned to students on the Student Term Summary by Division table and, if you wish, the Student Master table. First you select a year/term, and then you build a list of students to update. Finally, you select which field to update: honors or probations.

On this page, you can update one field at a time (honors or probation) for the selected students in the selected term.

Tip

If you want to update multiple fields at a time, you can use the Rules Based Update window in Desktop to update honors and probations together.

Caution

You can run Academic Standing Update whenever you need to, but make sure grades are up to date for the selected year/term before you run it.

Honors

When you select Honors in the Update Type, it updates the Term Honors field on the Student Term Summary by Division table (stud_term_sum_div.academic_honors).

If you also select the Update Student Master option, it also updates the Honors field on the Student Master table (student master.cur_acad_honors).

Tip

When to leave it unselected: Student Master is for current information, so if you're running Academic Standing Update for a past term, you'd probably want to leave this unselected.

Probation

When you select Probation in the Update Type, it updates the Term Academic Standing field (student master.cur_acad_probation).

If you also select the Update Student Master option, it also updates the Academic Standing field on the Student Master table (student master.cur_acad_honors).

Building the List

You can select all students, or you can use a data set.

Note

Data sets use InfoMaker to query the database and determine which students are included. Queries are managed in InfoMaker, and updates made there are reflected in J1 Web.

The Original data set is provided by Jenzabar. Your school can define others.

Data sets are called queries in Desktop.

Options

Update Type

Select either Honors or Probation.

Update Student Master

Select this checkbox if you want the process to update not only the Student Term Summary by Division table, but also the Student Master table.

You can run the update in Desktop, too, on the Academic Standing Update window. The update affects both Desktop and J1 Web no matter where you run it.

Permission to run academic standing updates is available in the Registration Process Manager role.

The permission required is "Can run academic standing update process".

  1. Before you run the update, make sure grades are up to date for the selected year/term.

  2. In the Registration Reporting and Processes hub, click Hub options.

  3. Select Processes and then Academic standing update. The Academic Standing Update page opens.

  4. Read the information at the top of the page to get an overview of the process.

  5. Build the list of students:

    1. In Term, enter a year. Select a year/term from the list that appears.

    2. Select a radio button: All students or Data Set.

      1. If you select All students, click Add students to put the students on the list.

      2. If you select Data Set, select a data set from the Data Set drop-down. Then click Add students to put the students on the list.

    3. Review the list of students.

      1. Click the Remove icon Remove Icon to remove individual students from this process as needed.

      2. You can add more students to the list by selecting another data set or by selecting All students.

  6. Select options:

    1. In Update Type, select either Honors Definition or Probation Definition.

    2. Select the Update Student Master checkbox if you want the update to apply to the Student Master table (in addition to the Student Term Summary by Division table).

  7. Click Update. A message tells you whether the update was successful.
