Degree/Aim Cross-Reference
Use this page to help synchronize advising with registration. Degree/Aim Cross-References are definitions that let you map registration majors, minor, concentrations and certifications to advising aims to help keep the two modules in sync.
On this page you can view, create, edit, delete, and download definitions. You can also view, create, and edit academic plans to go with the aims.
Note
The Degree/Aim Cross-Reference page replaces the Programs page that was in some earlier versions of J1 Web.
At the top of the page, select the element type in the view drop-down (Major, Minor, Concentration, or Certification). The list changes to to that view. Major is selected by default.
The fields are different depending on the view.
Year: The academic year for the major. Required. Not editable after the record is saved.
Major: The name of the ma. Required. Not editable after the record is saved.
Degree: The degree that's aligned with the major. Required.
Status: The status of the academic plan for the major. Required. Statuses include these:
No need for plan
Not ready for plan
Ready for plan (You can create a plan draft here.)
Has plan (A plan is ready to assign to students, and you can view it here.)
Program Requirements: Requirements (aims) are listed. Each aim is a link to the Edit Degree/Aim Cross-Reference pop-up. If there are no aims, the Add aims button appears.
Show in Campus Portal: Options are Yes or No. If Yes, this definition can be seen by faculty and students in Campus Portal features. Required.
Year: The academic year for the minor. Required. Not editable after the record is saved.
Minor: The name of the minor. Required. Not editable after the record is saved.
Program Requirements: Requirements (aims) are listed. Each aim is a link to the Edit Degree/Aim Cross-Reference pop-up. If there are no aims, the Add aims button appears.
Show in Campus Portal: Options are Yes or No. If Yes, this definition can be seen by faculty and students in Campus Portal features. Required.

Concentration: The name of the concentration. Required. Not editable after the record is saved.

Certification: The name of the certification. Required. Not editable after the record is saved.

The Actions button is available in the Major view. It affects an individual program. Its options vary depending on the Status.
All statuses: Edit is an option for all programs regardless of status. The Edit Degree/Aim Cross-Reference pop-up opens.
Has plan:
Click the View plan link to see and edit the plan.
If the program has a default academic plan, then one of the options in the Actions button is Delete default academic plan.
Ready for plan: Click Create academic plan draft to create a draft you can then edit.
Note
The Minor, Concentration, and Certification views don't have the Actions button, but they have the Edit icon on each row, so you can still edit each program.
The Options button affects all selected definitions. These are the options:
Create default academic plans: Create a default academic plan for every selected definition whose status is Ready for plan. This does not create plans for definitions with any other status.
Download to Excel: Download the Degree/Aim Cross-Reference list (as you've filtered it) to a Microsoft Excel spreadsheet.
Edit selected: You can edit one field at a time in all the definitions you selected.
Delete: Delete the selected definitions from Degree/Aim Cross-Reference.
Caution
Delete records with caution. A pop-up asks you to confirm your decision.
The programs are stored on the Degree Aim Cross Reference Master table (degree_aim_xref_master). The aims are stored on the Degree Aim Cross Reference table (degree_aim_xref). There is a one-to-many relationship between (degree_aim_xref_master) and (degree_aim_xref). That is, a program can have many aims.
In Desktop, the feature is on the Degree/Aim Cross Reference window.
The permission needed is "Can manage degree/aim cross-reference". It's available in the Academic Advising Module Manager role.
From the Advising Administration hub, click the Hub options, and select Tree building.
Select Degree/Aim Cross-Reference. The page opens defaulted to the Major view.
Use the drop-down at the top to select the Minor, Concentration, or Certification view.
To view hidden fields, click the Expand icon
.
In Program Requirements field, any listed aims are links. Click any of them to open the Edit Degree/Aim Cross-Reference pop-up.
In the Major view, click the Actions button on a row and select Edit. In the Minor, Concentration, or Certification view, click the Edit icon
. The Edit pop-up opens.
Make your changes.
To add aims:
Click Add aims. The Add Aims pop-up opens.
Select an Aim Label from the drop-down (required).
In Requirement, type any part of a requirement. Select a requirement from the list that results.
If you want this to be the primary aim for this definition, select the Primary checkbox.
To add another aim, click Choose another aim.
To save, click Add aims. The Add Aims pop-up closes.
To save all your changes, click the Save button.
On a Major definition where the Status is "Ready for plan", click the Actions button, and select Create academic plan draft. A pop-up asks you to confirm.
Click Create plan draft. The plan's page opens. You can edit the overview and layout.
Select the definitions you want to create default academic plans for.
Note
Definitions must have the "Ready for plan" status in order to have a plan created.
Click the Options button, and select Create default academic plans.
A pop-up tells you how many plans will be created and reminds you that you can edit the plans as soon as they're created.
On a definition where the Status is "Has plan", click the Actions button.
Select View plan. The plan's page opens. You can edit the overview and layout.
On a definition where the Status is "Has plan", click the Actions button.
If the academic plan is merely the default plan, you can delete it. Select Delete default academic plan.
Select the definitions you want to edit.
Click Options, and select Edit selected.

To remove a definition, click the Remove icon

Under Select a Detail to Update, select a field.
Then select a value for the field.
Click either Update or Update and edit another.
Click the Create definitions button. The Create pop-up opens.
Enter information. See the "Fields" section above for details and requirements.
To add aims:
Click Add aims. The Add Aims pop-up opens.
Select an Aim Label from the drop-down (required).
In Requirement, type any part of a requirement. Select a requirement from the list that results. (See the Advising Requirement Code (ARC) Definitions window for the list of requirements.)
If you want this to be the primary aim for this definition, select the Primary checkbox.
To add another aim, click Choose another aim.
To save, click Add aims. The Add Aims pop-up closes.
Click either Create and close or Save and create another.
Select the checkboxes next to the rows you want to export.
From the Options drop-down, select Download to Excel. The Download to Excel pop-up opens.
Select options for the Excel format and data columns.
Click Download. Your .xlsx or .zip file is saved in the file location that you have set in your browser settings.
