Before Generating Account Statements
As you prepare to generate account statements, go through each of the steps listed below. These tasks should be accomplished on a daily and regular basis, and they should be reviewed in detail before initiating the account statement process.
Note
These tasks are completed in the Receivables Management hub unless otherwise noted. When available, both the J1 Web page and the corresponding Desktop window are listed for each step.
Generate charges for each student. Most charges should be generated automatically, but you can manually add charges via the miscellaneous charges process and with journal entry adjustments.
Post charge (CG) batches. This process occurs in the General Ledger Accounting hub.
Enter receipts and credit payments. Record payments against account balances and transfer advance deposits toward balances.
Post receipt (RC) and transfer (TP) batches. This process occurs in the General Ledger Accounting hub.
Make charge adjustments. If there are any charges that didn't get generated automatically in previous steps, they can be added as miscellaneous charges or as Journal Entry adjustments.
Post miscellaneous (MS) and journal entry (JL) batches. This process occurs in the General Ledger Accounting hub. If you entered charges with any customized source codes, be sure to post those batches, as well.
Review student addresses. Verify the correct addresses are associated with each student's record.

Review subsidiary control settings. Verify information used in the statement process is accurate for the upcoming run (e.g., the correct Period End Date is specified, the appropriate subsidiary codes are selected, etc.).
Generate the AR Exceptions report. Use this report to identify any students with unposted (U) or suspended (S) transactions that need to be posted. If there are any transactions that need to be posted, post them before moving to the next step.
Generate finance charges. Run the finance charges process to calculate and add any finance or late fees to student balances.
Generate the Register report. Use this report to review student account activity through the defined period end date.
