Timecard Format
Use these settings to determine how employees enter their time.·
All – All pay groups and employees enter their time the same way.·
By Pay Group – You can define different pay groups to enter their time in the clock in/out, hourly, daily total, or period summary format.
Employees can enter their time in the following formats:·
Clock in/out – Employees use the clock in or clock out button at the exact time they start and end work.·
Hourly – Employees enter the exact number of hours they worked using start and end times. ·
Daily Total – Employees enter total time for each day in the pay period.·
Period Summary – Employees enter time worked for the entire pay period.
If you have some employees that need to enter time hourly, and other employees that need to enter time but may not track daily or hourly time, you can set up separate Pay Groups with different timecard formats.
Once a pay period has started, any changes to this setting do not take effect until the next pay period.
From Hub options, select Manage administrator settings.
From the Timecard Format section, select the All option.
Click the Edit icon next to the enter time format.
From the timekeeping drop-down, select how you want employees to enter their time.
Click the Save button. Your employees, regardless of pay group, will enter their time in the format you selected.
From Hub options, select Manage administrator settings.
From the Timecard Format section, select the By Pay Group option. The pay groups you are responsible for appear.
Click the Edit icon next to the enter time format.
From the timekeeping drop-down options, select how you want employees in the specific pay group to enter their time.
Click the Save button. Your employees in that pay group will enter their time in the format you selected.
Repeat steps 3 - 5 for each pay group.
Select Manage administrator settings from the Hub options.
From the Timecard Format section, update the All pay groups or By Pay Groups options as needed. If you are changing from All to By Pay Groups, you need to select a timekeeping format for each pay group.
Update the timekeeping format by clicking the Edit icon next to a pay group and selecting the time keeping format you want them to use.
Click the Save button.
Note
Remember, any changes made to the Timecard Format in the middle of a pay period will not take effect until the start of the next pay period.
If you change this setting on the first day of a pay period, the change is made immediately; otherwise, any changes you make to this setting take effect at the start of the next pay period.
If you change this setting in the middle of a pay period, employees could lose any time that has already been saved for the current period. For this reason, the system is programmed to make changes only at the start of a new pay period.
If you change the timecard format from a larger time frame to a smaller, more specific time frame (such as Period to Daily, Period to Hourly, or Daily to Hourly), employees lose any time already saved for the current period.
If you change the timecard format from a smaller, more specific time frame to a larger time frame (such as Hourly to Daily, Hourly to Period, or Daily to Period), employees do not lose any time already saved for the current period.
You cannot see or refer to any time entered prior to the move in pay group/subgroup.
Caution
Be careful when changing an employee's pay group/subgroup. If at all possible, only change a pay group or subgroup at the start of a new pay period.
