Class Rank Update
Important
Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.
Use this page to update students' class rank for the selected year/term. The process updates the Class Rank column on the Student Term Summary by Division table (stud_term_sum_div.class_rank).
After you run the update you can see students' updated class rank in these places:
Class Rank Report
Student Inquiry window, Summaries tab, Division subtab, Class Rank column
Note
The process updates only the student's current division.
Caution
Only students with a Class Code (stud_term_sum_div.class_cde) get their class rank updated. The Class Code is visible on the Student Inquiry window, Summaries tab, Division subtab, Classification column. Make sure this Classification field is populated.
You can populate Class Code by running the Classification Update process.
(The Class Rank Update also requires a value in Division, but that's almost never empty.)
To update the class rank for a selected year/term, J1 selects all Student Term Summary rows for that year and term. Next, it sorts by division, class, and career GPA. Finally, it counts the number in each class (division + class) and ranks each student accordingly.
Things to Do Before Running This Process
Do these tasks in this sequence:
Make sure all grades are entered for the year/term.
Give the Academic Recalc process time to process the grades. (It runs automatically.)
Run the Classification Update process for the year/term.
Building the List
To build the list of students for the process, you merely select the term. All students enrolled in the term are automatically added to the list, and the list is not shown.
In addition to updating the Student Term Summary by Division table, you can opt in to having the process update the following tables.
This option updates several columns on Degree History. Only rows flagged as the Current Degree are updated.
Class Rank
Database: degree_history.class_rank
Desktop:
Degree History window, Graduation tab, Class Rank field
Student Information window, Degree tab, Graduation subtab, Class Rank field
J1 Web: Student Information Details page, Graduation tab, Commencement heading, Class Rank / Size field
Class Size
Database: degree_history.class_size
Desktop:
Degree History window, Graduation tab, Class Size field
Student Information window, Degree tab, Graduation subtab, Class Size field
J1 Web: Student Information Details page, Graduation tab, Commencement heading, Class Rank / Size field
Class Rank High Range (Oklahoma State Reporting only)
Database: degree_history.class_rank_hi_rnge
Does not appear in the either Desktop or J1 Web, but is used in calculations for the Oklahoma UDS Term Report.
This option updates columns on Student Division Master. The columns correspond to the ones optionally updated on Degree History. However, the columns do not appear in either J1 Web or J1 Desktop. These columns are updated:
Class Rank: student_div_mast.class_rank
Class Size: student_div_mast.class_size
Class Rank High Range: student_div_mast.class_rank_hi_rnge
You can run the process in Desktop, too, on the Class Rank Update window. The process applies to both Desktop and J1 Web no matter where you run it.
Permission to run class rank updates is available in the Registration Process Manager role.
The permission required is "Can run class rank update process".
Before you start:
Make sure all grades are recorded for the year/term you're running.
Give the Academic Recalc automatic process time to process the recorded grades. (Academic Recalc runs automatically every few minutes, so it shouldn't need long, but if grades for many sections were entered all at once, it might take a few hours.)
Run the Classification Update process to populate the Class Code column.
In the Registration Reporting and Processes hub, click Hub options.
Select Processes and then Class rank update. The Class Rank Update page opens.
Read the information at the top of the page to get an overview of the process.
In Term, enter a year. Select a year/term from the list that appears.
Select the checkbox for either or both of these options to update their respective tables:
Update degree history table
Update student division master table
Click Update. A message tells you whether the update was successful. You can run the Class Rank report for the same year/term to see results.
Unranked students may be missing a value in the Class Code column on the Student Term Summary by Division table (stud_term_sum_div.class_cde). The Class Code is visible on the Student Inquiry window, Summaries tab, Division subtab, Classification column.
Run the Classification Update process to populate the Class Code.
Students with the same GPA receive the same class rank. For example, if the highest GPA is shared by three students, then all three receive the class rank of 1. No student receives the rank of 2 or 3. The student with the next highest GPA receives the rank of 4.
