Registration Module Manager Permissions

The Registration Module Manager role is for your school's administrative users responsible for managing Registration users and features. Users in this role control the Registration hub's settings and user permissions.

Each permission in the Manage Definitions category controls user access to a particular definition page, such as the Degree Definitions page or the Group Registration Definitions page.

Most of these give permission to manage, which means the user can view, edit, and delete existing definitions on that page and also download the definitions to an Excel file. They can also create new definitions for that page.

A few permissions are for viewing rather than managing. A user with view permission can see the definition page but can't edit, delete, download, or create definitions.

Can view roles

Review Registration roles in J1 Web including the description and number of active users associated with it.

Can edit non-default role names & descriptions

Customize role names and descriptions as you want them to appear to other users making them consistent with the department names at your school and clarify the differences between roles with similar permissions. Note: The names and descriptions of default roles can't be edited.

Can create roles

Create roles with varying permissions to ensure a wide range of access needs are met. Users can create as many registration roles with varying permissions as needed. Users can create roles appropriate for users needing limited access or users who may need fuller access to additional information.

Can copy roles

Utilize existing role permissions to quickly create and customize new roles. Users can manage registration user privileges by creating as many roles with varying permissions as needed.

Can add & remove user role assignments

Add and remove users to/from roles to immediately grant and revoke access to Registration information and features.

Can change role permissions

Add/remove access to J1 Web features and information. Roles can be customized to meet the needs of different user groups. Privileges can be managed via groups as opposed to individually.

Can change what the role can access

Module Managers with this permission can  grant/revoke access to student and course information according to their specific needs.

Can delete non-default roles

Remove customized roles that are no longer needed to eliminate confusion. Deleting roles does not delete the default role template.

View and edit settings that control these features:

  • Default Grading Method

  • General CBE Settings

Can manage settings for copying user-defined fields

Designate user-defined fields to copy when course sections are created from catalog courses or when students are registered for a course section.

Can manage enrollment settings

View and edit the settings that control these features:

  • Default current Year / Term

  • Internal Registration Reports

  • Messages for Reports

  • Miscellaneous

  • Course Component Definition

  • Registration Controls

  • Open Enrollment Defaults

  • Prerequisites, Corequisites, and Prohibited Courses

  • Waitlist Options

  • Recalculation of Academic Records

Can manage general settings

View and edit settings that control these features:

  • Course Search Filter

  • Switching to J1 Web Grade Entry and Overrides

  • Grade Entry Messages and To Dos

  • Contacts

  • Drop and Withdraw Student Sections

  • Attendance Reporting

  • Repeat Grade to Print

  • External Registration

Can manage IPEDS settings

View and edit basic information about the school for IPEDS reporting

Can manage registration limits settings

View and edit settings that control these features:

  • Repeat Limits

  • Reserved Courses

  • Dual-Enrollment Credit-Hour Limits per Term

  • Developmental Credit-Hour Limits

  • Withdraw-Passing Deadline

  • Developmental-ESOL Credit-Hour Limits

  • Course-Withdrawal Limits

  • Education Success Requirements

Can manage repeat, transcript, and GPA settings

View and edit settings that control these features:

  • Treatment of Repeat Courses

  • GPA Configuration

  • Forgiven Course Limits

  • Repeats on Transcripts

  • Transcript

  • Special Formatting on Transcripts

Create, edit, and delete academic days-off items for use in academic periods.

Can view academic periods

See periods that transcend terms and are used for open enrollment courses.

Can edit published academic periods

Add academic days-off items to published academic periods. These could be items for unplanned events such as weather-related closures.

Can view section planning confidence indicator

See the percentage of advisees with an academic plan for the selected term, which helps them monitor academic planning.

Can view section planning advisor & advisee details

See details of academic planning: percentage of advisees with all requirements planned and with all requirements planned to the individual course, which helps them monitor academic planning.

View information related to competency-based education, which recognizes specific skills and benchmarks in student achievement.

Edit information related to competency-based education.

Can add CBEs

Add competency-based education elements (such as levels, units, and competencies) to catalog courses and sections.

Can remove CBEs

Remove competency-based education elements (such as types, levels, units, and competencies) from catalog courses and sections.

See the course overview information including schedule, location, credits and hours, and the requirement it fulfills, as well as the registration status.

Can edit catalog courses

Edit catalog course information, including title, campus, ARC, hours, and more.

Create new catalog courses.

Can delete catalog courses

Permanently delete courses from the course catalog.

Edit financial information on a students Student Information Details page, General Information tab.

Manage user-defined student information fields and updated settings.

View information about a student's division including entry date for the division, expected graduation term, cohort, entrance status, exit and re-entry, leave of absence, certification, and advisors.

Can edit student Division Info

View and edit information about a student's division including entry date for the division, expected graduation term, cohort, entrance status, exit and re-entry, leave of absence, certification, and advisors.

Can add student divisions

Add student divisions to student information details, which allows users to track student achievement in multiple divisions.

Can remove student divisions

Edit or remove student division.

Can view student Program Info

Module Managers with this permission can view information about students' programs including information including majors, minors, concentrations, certifications, and honors, as well as entry and exit information, expected graduation, and degree lock.

View and edit information about students' programs including information including majors, minors, concentrations, certifications, and honors, as well as entry and exit information, expected graduation, and degree lock.

Can add programs

Add programs to a student's information details including majors, minors, concentrations, certifications, and honors, as well as entry and exit information, expected graduation, and degree lock.

Can remove programs

Remove a student's program.

Can unlock / edit a locked program (degree)

Module Managers with this permission can lock degree and program information so that it can't be edited. They can also turn degree lock off so that information can be edited.

Can view student Enrollment Info

View information related to student enrollment including division status, classification, academic status, honors status, and group reg code.

Can edit student Enrollment Info

View and edit information related to student enrollment including division status, classification, academic status, honors status, and group reg code.

Can view student Graduation Info

View information related to student graduation including graduation application date, graduation stage, degree, program area, honors program, diploma information, degree lock.

Can edit student Graduation Info

View and edit information related to student graduation including graduation application date, graduation stage, degree, program area, honors program, diploma information, degree lock.

Can view student Term Academic and Financial Info

View a wide variety of academic and financial information for the student's term including high school credit status, state classification, state enrollment status, inter-institutional visiting, online agreement, discount type, and tuition status.

Can edit student Term Academic and Financial Info

View and edit a wide variety of academic and financial information for the student's term including high school credit status, state classification, state enrollment status, inter-institutional visiting, online agreement, discount type, and tuition status.

Can add student term table records

Add information to a student's term table records  including high school credit status, state classification, state enrollment status, inter-institutional visiting, online agreement, discount type, and tuition status.

Can view student section details

See a student's section details including details on the section, the students, and academic information (such as grades, transaction status, and repeat status for each student in the section.

Can edit student section records that do not have History sta

Edit student course records only if they're not in History status. This includes details on the section, the students, and academic information such as grades, transaction status, and repeat status for each student in the section.

View the Registration Clearance block and the Registration Clearance list to see the list of students awaiting clearance to register.

Can grant registration clearance

See the list of students awaiting clearance to register and grant clearances.

Can generate charges

Generate charges for students who have courses in the selected term. Module Managers in this role can also run charges in preliminary or final mode.

Can manage individual transcript notes

Access a student's Individual Transcript Notes page from the student's summary page.

Can view student leaves of absence

Access a student's Manage Leaves of Absence page from the student's summary page.

Can manage student leaves of absence

Edit and create leaves of absence for a student on the Manage Leaves of Absence page (accessed from the student's summary page).

Access student summaries by term, division, and subterm.

Can edit student Summaries Info

View and edit student summaries by term, division, and subterm.

Can manage blocks on student home page

Add, enable or disable, and remove blocks from a student's Summary page. Edit custom-content blocks.

Can add section schedules

Add one or more schedules to a section. For example, the section may meet daily for 2 weeks, then twice weekly for a time, and then once weekly. Or it may meet in different locations on rotation schedules.

Delete one or more schedules from a section.

Can view section grading controls

See the Grading Controls view of the Manage Sections page. Includes grade scale, credit type, special GPA, grading periods and variable grading type.

Students (Name and ID) by Division with their honors (such as Dean's List) and probation, plus Term and Career GPA and Hours

Locations for the selected term with their course sections (Code and Title) and schedules

Can generate grade distribution reports

Instructors with their course sections (Code and Title), Parent Course, Load, Institutional Division, grade distribution, totals and averages

Student Name, ID, SSN, Advisor, and Major with course section grades and credits, plus term and career GPA

Can generate NSC SSN exception reports

Student SSNs (incorrect, duplicate, or missing) with student ID and Legal Name

Can generate registration summary by institutional division reports

Institutional divisions (such as academic departments) with their course sections for the selected term with enrollment counts, schedules, instructors, and credits

Can generate registration summary by professor reports

Instructors (name) with their courses course sections for the selected term with enrollment counts, load, and contact hours

Can generate section list reports

Course sections with details on enrollment counts, credits, and hours

Can generate student schedules reports

Students (Name, ID, SSN, Address, Division, Degree, Class, Advisor, Majors) with their schedules for the selected semester

Can generate student-section status counts reports

Student names and IDs with their count of course sections for a year/term in each status: Dropped, Current, History, Waitlisted, Reserved, Preregistered

Can generate waitlist reports

Sections showing students (Name and ID) on the waiting list
