Advising Administration Overview Block

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

This block appears on the Advising Administration Summary page. Depending upon your school's configuration, the Overview block can be used to access blocks and get a quick look at any outstanding issues impacting your advisors, see and access current advising cycles, review the status of programs and academic plans for the current catalog year, and access a copy of your school's FERPA policy or contact a campus FERPA specialist.

Overview

  • Blocks on Page section lists the blocks available from the Advising Administration home page. Click on a block name to access the block.

  • Current Advising Cycles can list any advising cycles you are currently involved in.

  • Academic Plans can show the academic plans for the current catalog year and their status.

  • Programs can show the programs for the current catalog year and their status.

    Tip

    The current Catalog Year for both Academic Plans and Programs is set on the Enrollment Settings page: Default Current Year / Term.

  • FERPA can show how many students have granted FERPA permissions to specific individuals, include a link to your school's FERPA policy, and a link to your FERPA contact.

  1. On the main Navigation panel, click Advising Administration. The contents of the hub appear.

  2. Click Summary. The Summary page appears.

  3. View the Overview block.

To access the block, click on the block name or scroll down the page.

Use either of the following ways to access an advising cycle:

  • Under Current Advising Cycles, click on the name of the advising cycle you want to view.

  • From the Blocks on Page section, click on Advising Cycles and the Advising Cycles block appears. From the block use the Select One drop-down options or the View all advising cycles link.

Use either of the following ways to access an academic plan:

  • Under Academic Plans, click on the plan status and the Academic Plans page appears showing a list of all the plans in the status you selected. Additional filter options on this page allow you to view other academic plans.

  • From the Blocks on Page section, click on Academic Plans and the Academic Plans block appears. From the block use the Search for Plan option or the View all advising plans link.

Use with of the following ways to access a program:

  • Under Programs, click on the program's planning status and the Program Planning page appears showing a list of all the programs in the status you selected. Additional filter options on this page allow you to view other programs.

  • From the Blocks on Page section, click on Program Planning and the Program Planning block appears. From the block use the Review these programs option or the View all programs link.

Click View our FERPA policy. Depending upon the browser or device being used, a PDF copy of your school's FERPA policy is opened or downloaded.

  • You may not be in a role with the appropriate permissions. Contact your system administrator or module manager for more information.

  • The advising cycle may not fall within the current time frame. Only those advising cycles that have been published and have started or are underway within the current date appear. You can verify when an advising cycle starts and ends using the Advising Cycles page.

    Tip

    To access the Advising Cycles page, access the Advising Cycles block and from the block use the Select One drop-down options or click the View all advising cycles link.

This status bar shows you how many tasks for setting up an advising cycle are complete.

This status bar show you how many appointments your advisors have completed with advisees, giving you an idea of how many advising appointments remain.

  • You may not be in a role with the appropriate permissions. Contact your system administrator or module manager for more information.

  • There may not be any programs available for the current catalog year.

    Note

    • You can see if there are programs available for another catalog year using the Program Planning page. To access the Program Planning page, access the Program Planning block and from the block, click the View all programs link.

    • Make sure programs have been set up on the Advising Trees page and associated with a catalog year on the Degree/Aim Cross-Reference page.

  • You may not be in a role with the appropriate permissions. Contact your system administrator or module manage for more information.

  • There may not be any plans available for the current catalog year.

    Tip

    • You can see if there are plans available for another catalog year using the Academic Plans page. To access the Academic Plans page, access the Academic Plans block and from the block, click the View all academic plans link.

    • Make sure programs have been set up on the Advising Trees page and associated with a catalog year on the Degree/Aim Cross-Reference page.

  • You may not be in a role with the appropriate permissions. Contact your system administrator or module manage for more information.

  • The FERPA policy may not have been uploaded or a FERPA contact may not have been designated. You can verify the FERPA configurations on the General Settings page  (From the Hub options, select Manage advising settings).
