Manage Student Section Details

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

Use this page to view and edit and information for the students in a section. Many of the fields allow you to customize the section for the student. For example, you can customize the Start Date or the Census Date.

Tip

If you customize the Census Date and Time for the student, set the Census Time to 11:59:59 p.m. That keeps Add/Drop open all day on the Census Date. (If you set it for midnight, there will be confusion about whether midnight is the end of the previous day or the beginning of the upcoming day.)

You can filter the sections by status: Current, Preregistered, Reserved, History, Waitlisted, or Dropped.

The information appears in several views. Select one of these view in the view drop-down:

  • Section

    • Section status (that is, the student's transaction status for the section), division, advising requirement code, and dozens of other fields about the section

  • Student

    • Division, billing status and payment information, and dozens of other fields

  • Academic

    • Grades, repeat information, credits, and tests

  • CBE (Competency Based Education)

    • Transaction status and competencies

    Tip

    You may see a different name for the CBE view because your school can edit the Display Name on the J1 Desktop Registration Configuration window, Competency Based Education tab. In the documentation, we still call it the CBE view. CBE is available only if your school has the Competency Based Education license.

You can filter the sections by status: Current, Preregistered, Reserved, History, Waitlisted, or Dropped. Click in the filter field just under the view drop-down.

Editing an Individual Student's Section Details

The Manage student section details button for each student opens a tab view of the page where you see all the fields in the selected tab at once. You can click the Edit details button to make changes in any of the tabs.

Editing Multiple Students' Section Details Simultaneously

You can select multiple students and use the Options drop-down to edit the section details for multiple students at once.

To edit at once all the students you select, use the Edit selected option in the Options drop-down.

Tip

In the J1 Desktop application, student sections are listed in the Student Registration window | Registration tab.

The permission needed to edit is "Can edit student section details". It's available in the Registrars role and the Registration Module Manager role, as well as roles copied from them.

We also honor additional permission settings in the Registration Override and Access Control role. Without those permissions, a user may be restricted from changing student records..

  1. From a section summary page click Section options.

  2. Select Manage student section details.

  3. Click the view drop-down to select a view.

  1. On a student's row, click the Manage student section details button.

  2. On a student's row, click the Action drop-down.

  3. Select Manage student section record. The Manage Student Section Record page opens.

  4. Select a tab.

  5. Click the Edit details button.

  6. Make your edits.

  7. Click the Done editing button.

  8. On the Competencies tab, use the Add and Remove buttons, and edit text. Then click the Save button.

  1. Select the students you want to edit.

  2. In the Options drop-down, select Edit selected. The Edit Student Section Info window pops up.

  3. Select a detail to update. A drop-down appears.

  4. Select a value from the drop-down.

  5. If you wish, click Add another detail. Select a detail and a value.

  6. Click the Update button.

  1. On a student's row, click the Action drop-down.

  2. Select Update enrollment status. The Update Enrollment Status window pops up.

  3. Select a Status from the drop-down.

  4. Click the Update button.

  1. Select the students whose status you want to edit.

  2. In the Options drop-down, select Update enrollment status. The Update Enrollment Status window pops up.

  3. Select a Status from the drop-down.

  4. Click the Update button.

The Manage Student Section Record page is for an individual student in a section.

The Manage Student Section Details page includes all the students in a section.

Not necessarily. By default, course sections have the same dates (start, end, census, withdrawal, grading periods, and so on) as the term or subterm they're in. Those dates are configured on the Year / Term / Subterm page.

But an individual course section's dates can be edited on the Manage Section Details page. So a course section can have a census date that's different from the term's.

Likewise, each student in a section can have different dates. They can be edited on the Manage Student Section Details page.

Note

If you create a section using the Create Sections option, the new section gets the dates from the term you assign it to.

But if you use the "Copy Sections to New Year / Term" feature, you can choose between these options:

  • Use the term or subterm dates

  • Use whatever dates are in the sections you're copying
