Event Invitees File Import Overview

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

You can import invitees using an MS Excel worksheet file in the .xls and .xlsx format.

Tip

If you manage invitee information in Outlook, you can export your Outlook contacts into an Excel spreadsheet. You will likely need to rename and/or add required columns before importing the spreadsheet into J1 Web. See below for a list of the required columns.

Note

Apple devices do not allow users to select .xls or .xlsx files. To import invitees from a spreadsheet, use another non-Apple web-enabled device or computer.

Information Required for File Import

For the import to work successfully, there are several required columns that must include corresponding information to ensure there is a way to contact/send invitations to the invitees included in the file.

Required Information

  • First and last name

  • ID Number OR one form of contact must be also included. The ID number is used to match up contact information and if it doesn't exist, contact information such as address, phone number, or email address is required. For example, you can import a file that only includes first name, last name, and email information. Sample Spreadsheet

Available Columns

For the import to be successful, the spreadsheet header columns must match the wording shown below. Column headings cannot include spaces, but identical capitalizations as shown below are not required.

  • LastName (required information)

  • FirstName (required information)

  • MiddleName

  • IDNumber (if not available, one form of contact information is required)

  • AddressLine1

  • AddressLine2

  • City

  • State (in abbreviated form)

  • Zip

  • EmailAddress

  • PhoneNumber

Note

Your file may include other columns that are not listed, but they will not be imported.

No, the column order doesn't matter. The spreadsheet must include the required columns with information in the first and last name, but the order doesn't impact the import process.

No, there is not limit on the file size.

Yes, as long as one form of contact information is available.
