Jenzabar Recruitment Manager Integration

Overview

Jenzabar Recruitment Manager supports recruitment activity by providing and automating Admissions and Recruitment functions, from candidate and prospect stages through application and acceptance. In integration with Jenzabar SONIS, Jenzabar Recruitment Manager becomes the collector and conduit of Admission data to the system of record, enabling the management of admissions data and providing this critical information to other necessary enrollment management components such as student services, financial aid, and registration. An integration implementation with Jenzabar SONIS allows member institutions to utilize a prebuilt interface to create processes called tasks for importing application data into Jenzabar SONIS. When the applicant reaches a defined point in the application process, the designated information is pushed to Jenzabar SONIS. This is accomplished using a software tool called Informatica . The process will import data such as the individual's name, address, module status, education record, program record, cohort, and education history. Setup

The most important thing that must occur within Jenzabar SONIS is to ensure that any data selection option within Jenzabar Recruitment Manager Picklists has a corresponding, uniquely defined, value in Jenzabar SONIS Table Values. For example, if the applicant is asked to select a gender, the gender that can be selected or entered in Jenzabar Recruitment Manager must have a matching and unique value in Jenzabar SONIS. See the Troubleshooting section for more information.

Historic Dataload

As part of a Jenzabar Recruitment Manager implementation data from the source system, in this case Jenzabar SONIS, will be loaded to Jenzabar Recruitment Manager. The institution works with its implementation consultant to determine the number of years' worth of student records that will be transferred. This transfer occurs one time before the go-live with Jenzabar Recruitment Manager. The recommended best practice is to load all student and applicant records within the source system, allowing for an established Jenzabar SONIS ID within Jenzabar Recruitment Manager. This decreases the potential for duplicate record creation in the future and increases the likelihood that data will remain in sync and correct between Jenzabar Recruitment Manager and Jenzabar SONIS.

Informatica

Informatica is the software tool used to gather data from Jenzabar Recruitment Manager and communicate it to Jenzabar SONIS. The institution receives training from a Jenzabar associate during the Jenzabar Recruitment Manager implementation on logging in to Informatica to run the integration tasks. If retraining is required, this can be arranged through the institution's Jenzabar Customer Service Manager (CSM). It is critical to the integration functioning correctly that the tasks and fields within Informatica are not modified after implementation unless directed to do so by a Jenzabar associate.

Import Tasks

Standard tasks are used to import Jenzabar Recruitment Manager data to Jenzabar SONIS. The task names can be viewed in Informatica. Any task names in the institution's Informatica task listing that are not listed, or shown in the picture below, are custom tasks. The standard data integration points are detailed in the table below. The Jenzabar SONIS table that will be updated when the task is run is listed after SONIS_.

Informatica uses data views of Jenzabar SONIS tables to determine any lookup values. Jenzabar creates these as part of the integration implementation. Views are refreshed in real-time as table updates are made.

Troubleshooting

An error in the Jenzabar Recruitment Manager data being processed by the Informatica tasks can cause the entire process to perform a transaction reversal on each of the task's inserts and updates, which would cause little or no information to be committed to Jenzabar SONIS. Before reporting any issues to Jenzabar Jenzabar SONIS Support, ensure that the troubleshooting suggestions listed below have been reviewed and any errors corrected.

Common data challenges:

Table values in Jenzabar SONIS are different than the Expressions in Jenzabar Recruitment Manager: For example, if the gender options are M - Male, F - Female, and N - Non-binary in Jenzabar Recruitment Manager, but the Gender table in Jenzabar SONIS contains Male, Female, Other, and No Gender Selected, the integration task will not be able to determine which gender to assign the students. The values that can be selected or assigned in Jenzabar Recruitment Manager must have a matching and unique value in Jenzabar SONIS.
County codes in Jenzabar SONIS differ from those in Jenzabar Recruitment Manager: This could be a different abbreviation or code or a list of values that do not match exactly (see gender example).
Duplicate institution records (high schools, etc.): Occasionally, schools may have multiple institutions defined in the Institution table for a single institution. This is especially common when an institution has a common name or many locations. For example, Brown University may have a record in Jenzabar SONIS for Brown, Brown University, and Brown State University, with each referring to the same institution. If the student entered Brown in Jenzabar Recruitment Manager, the integration task would be unable to determine which record should be associated.
Institution records are different than those in Jenzabar Recruitment Manager: As with gender and county codes, the institution records defined in Jenzabar Recruitment Manager must match the institution records defined in Jenzabar SONIS.
Data points/labels, or Expressions as they are called in Jenzabar Recruitment Manager, are created in Jenzabar Recruitment Manager on non-Contact objects (system areas): Because the integration tasks only consider Expressions on the Contact object within Jenzabar Recruitment Manager, any data that will be sent to Jenzabar SONIS must originate in Contact objects.
