Residence Life Settings - Resident Check-Out

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

These settings let you turn on resident check-out and control which features are enabled. You can determine:

  • whether or not check-out staff can collect Student Keys at check-out

  • if Emergency Contact Information should be collected (or required) during check-out

  • whether or not to enable the room condition report at check-out

  • if residents will be required to sign the room condition report at check-out

  • if the check-in agreement will be included in the PDF that is generated in JICS.

You can also customize the text of the Check-Out Agreement as needed. The Check-Out Agreement is automatically displayed as part of the resident's check-out acknowledgment.

You can reach the Residence Life Settings page from the Residence Life Administration hub. From the Hub options drop-down, select Setting options > Manage residence life settings.

How To

Enabling Student Keys at Check-Out allows residence life staff to record key return from residents.

  1. On the Residence Life Settings page, under Resident Check-Out, click Edit this section.

  2. Select the Enable Student Keys at Check-Out checkbox.

  3. Click Save this section.

The room condition report settings allow you to enable or disable the room condition report at check-out and to require that residents sign the report at check-out.

  1. On the Residence Life Settings page, under Resident Check-Out, click Edit this section.

  2. If you want to require the room condition report as part of the check-out process, select the Enable Room Condition Reports at Check-Out checkbox. If the checkbox is not selected, the room condition report will not be included in the check-out wizard. The checkbox is selected by default.

  3. If you want to require residents to sign the room condition report when they check out, select the Resident signature required checkbox. If the checkbox is not selected, the signature field is optional rather than required. The checkbox is selected by default.

  4. Click Save this section.

This setting allows you to create a custom agreement that residents must acknowledge during check-out. You can also choose whether or not to to include the agreement on the JICS PDF.

  1. On the Residence Life Settings page, under Resident Check-Out, click Edit this section.

  2. In the Check-Out Agreement text field, add any information you want residents to acknowledge during the check-out process. Note that this is separate from the check-out information that is sent to residents when the check-out process is broadcast.

  3. If you want the agreement to appear on the JICS PDF that students can download, select the Show Check-Out Agreement on JICS PDF checkbox. The checkbox is selected by default.

  4. Click Save this section.
