CBE Definitions Pages
There are several kinds of definitions that are essential to Competency Based Education. Enter the definitions while you're setting up CBE.
Set them up in the following sequence:
CBE Category Definitions
Registrars and registration module managers use this page to create categories and levels that can be assigned to competencies.
CBE License Required
Competency Based Education requires the Competency Based Education license.
Note
Be Aware of the CBE Display Name
By default, the Competency Based Education feature's display name is "CBE", but your school can rename it. The name appears in many windows, pages, and drop-downs. It refers both to the Competency Based Education feature and to the elements (like types, levels, units, and competencies) that you assign to courses and sections.
The names of windows, field labels, and values in drop-downs may include "CBE" by default. When you change this display name, it changes those window names, field labels, and drop-down values. In documentation, we still call it "CBE".
You can edit the display order of categories, edit each category, create new categories, delete existing ones, and download the list to Excel.
Categories can be different types of skill sets, such as knowledge and technical ability.
Fields
Name: Up to 30 characters. Required.
Active: The default is Yes. Inactive definitions can still be selected in drop-downs, but they're marked as inactive.
Display in Drop-Down: Default is Yes. If set to No, then the definition can't be selected when a user is defining CBE competencies or editing categories for a course section.
Category Level Associations
For each category, you can create levels of proficiency. For example, if you have a category for welding called Electrodes, you could have levels called One and Two. Or for a category called Grinding, you could have levels called Basic, Intermediate, and Advanced.
Use the Manage associations button on a definition's row to create or manage levels associated with the category.
You're not required to create levels for a category.
Desktop Location
You can also manage CBE Category Definitions in the Desktop application. The CBE Category Level Definition window is in the Settings - Competencies activity center.
When to Define CBE Categories
Define CBE categories after you define CBE types (and both of these after you configure CBE in Registration Configuration).
Where CBE Categories Are Used
CBE categories are used in these places in J1 Web:
CBE Competency Definitions page: Assign a Max Category Level Default.
Manage CBE Details (for a course section): View or edit a Max Category Level.
Permissions Required
Permission to manage CBE category definitions is available in these roles:
Registrar
Registration Module Manager
The permission required is "Can manage CBE category definitions".
From the Registration Administration hub, click Hub options.
Click Manage Definitions, and select CBE category definitions. The CBE Category Definitions page opens.
To temporarily sort the definitions, click the heading of the column you want to sort on. Click once for ascending order and again for descending order. The definitions are sorted for this viewing of the page, but the next time you view or refresh the page, it will return to its default sorting.
To filter the definitions, enter any combination of letters or characters in the Quick Filter. You can add multiple filters. If a result fits any of the filters, it appears. For example, if you enter three filters, a, b, and c, then any definition containing a or b or c appears.
Click Edit order. The Edit Order window opens.
You can use the Sort By and Order fields or drag and drop individual definitions.
Sort By and Order:
In Sort By, select a column to sort on.
From the Order drop-down, select Ascending or Descending.
Drag and Drop:
Hover your cursor over the vertical arrow icon
until the cursor changes to a Hand icon
.
Click and hold while dragging the definition to the desired location.
Release the mouse button.
Click Update.
From the Registration Administration hub, click Hub options.
Click Manage Definitions, and select CBE category definitions. The CBE Category Definitions page opens.
In the Category Level Associations column of each row, the Manage Associations button shows the number of levels associated with the Category. Click the Manage associations button. The Manage Associations window for that category opens.
To edit a level, click in any cell, and make your changes. Click Save.
To add a level, right-click in the grid, and select either Insert row above or Insert row below. Enter information in each column, and click Save.
To remove a level from the category, right-click the level, and select Remove row.
On the CBE Category Definitions page, click the Create definitions button. The Create CBE Category Definitions pop-up appears.
Enter a Name for the category. It can be up to 30 alphanumeric characters.
Set the Active and Display in Drop-Down values to Yes unless you don't want to make this definition available yet.
Click Create and close or Save and create another.
To associate levels with the category, follow the instructions above to Manage Category Level Associations.
On the CBE Category Definitions page, click the Edit icon
on the row of a definition.
The Edit CBE Category Definition pop-up appears.
In the Active drop-down, you can change from No to Yes or vice versa. But beware of making a Category inactive that might be needed.
In the Display in Drop-Down drop-down, you can change from No to Yes or vice versa. But beware of making a Category unavailable for selection that might be needed.
Click the Update button.
Select the checkboxes next to the rows you want to export.
From the Options drop-down, select Download to Excel. The Download to Excel pop-up opens.
Select options for the Excel format and data columns.
Click Download. Your .xlsx or .zip file is saved in the file location that you have set in your browser settings.
CBE Competency Definitions
Use this page to create competencies that users can assign to catalog courses and course sections. The information is presented in a spreadsheet that you can edit.
CBE License Required
Competency Based Education requires the Competency Based Education license.
Competencies are the specific skills you want to measure. For example, in Basic Welding, you might have a competency called Selects Correct Welding Technique, and another called Determines Appropriate Joint Type.
For each competency, you'll set parameters in a number of fields.

Credits | For the particular competency, not the course. If you assign credits to a course's competencies, then the sum of the competencies' credits should equal the course credits. |
Hours | For the particular competency, not the course. If you assign hours to a course's competencies, then the sum of the competencies' hours should equal the course credits. |
Advising Requirement | The requirement (also called ARC) that the particular competency fulfills |
Active | If selected, the competency is available to use. |
Display in Drop-Down | If selected, the competency appears in drop-downs on pages for creating and managing courses and sections. Thus, it makes the competency assignable. |
Show on Transcript | If selected, the competency is available to appear on transcripts. (Other factors may affect whether competencies appear on a particular transcript or for particular courses.) |
Description for Transcript | Use up to 255 characters to describe the competency on transcripts. |
Learning Outcome Associations | Button that opens the Manage Associations window |
Learning Outcome Associations
Each competency can have multiple learning outcomes. The Learning Outcomes Associations column has a button in each row to open the Manage Associations window for that competency. There you can add and remove associated learning outcomes. (Removing them doesn't delete them; it merely disassociates them from this particular competency.)
Desktop Location
You can define competencies in Desktop, too, in the CBE Competency Definition window. It's found in the Settings - Competencies activity center.
When to Define CBE Competencies
Define CBE competencies after you define CBE Learning Outcomes.
Where CBE Competencies Are Used
CBE competencies are assigned to course sections on the Manage Section Details page, Competencies tab.
Permission to manage CBE competency definitions is available in these roles:

The permission required is "Can manage CBE competency definitions".
From the Registration Administration hub, click Hub options.
Click Manage Definitions, and select CBE Competency Definitions. The CBE Competency Definitions page opens.
To search for specific definitions, enter text in the Search field, and press Enter key. Click the Remove icon
to remove the search.
To edit the order of definitions, click a row number. The hand icon appears.
Click and drag it to the new location.
Use Ctrl + click or Shift + click to grab several rows at a time.
Click Save. This saves your new order in these ways:
Their order on this page
Their order in drop-downs anywhere users can select from this list of definitions
Their priority order if these definitions are used in calculations or rules where priority matters

To filter the definitions, select the Filter icon
on a column heading. Follow the prompts in the filter pop-up, and click OK.
You can edit some of the fields. When you're finished, click the Save button.
To delete a definition:
Right-click the row,
Select Remove row.
Click the Save button.
To create a definition:
Right-click in the grid.
Select either Insert row above or Insert row below.
Fill in all the required fields.
Click the Save button.
From the Registration Administration hub, click Hub options.
Click Manage Definitions, and select CBE category definitions. The CBE Category Definitions page opens.
The Learning Outcome Associations column of each row shows the number of levels associated with the competency. Click the Manage associations button in the row. The Manage Associations window for that competency opens.
To add a learning outcome to this competency, enter the name of the outcome in the Learning Outcome field. (You can type a partial name and select from the drop-down.) Enter as many associations as you wish.
To remove a learning outcome from the competency, click the Remove icon
. The learning outcome is not deleted, but only disassociated from this competency.
Select the checkboxes next to the rows you want to export.
From the Options drop-down, select Download to Excel. The Download to Excel pop-up opens.
Select options for the Excel format and data columns.
Click Download. Your .xlsx or .zip file is saved in the file location that you have set in your browser settings.
CBE Learning Outcome Definitions
Use this page to view, edit, download, create, and delete CBE Learning Outcomes. CBE Learning Outcomes are educational goals that you'll associate with specific competencies.

You can associate each outcome with a program, an institutional division, and a college.
No outcomes are provided by default. Your school creates the definitions and decides whether to make them active and available for selecting in drop-downs for course section

Use the CBE Competency Definition page to add learning outcomes to competencies.

Desktop Location
You can define outcomes in Desktop, too, on the CBE Learning Outcomes Definition window. The window is found in the Settings = Competencies activity center.
When to Define CBE Learning Outcomes
Define CBE types after you define CBE Categories and before you define CBE Competencies.
Where CBE Learning Outcomes Are Used

Associated College: Select from the drop-down (such as School of Nursing or School of Engineering). Optional.
Active: Yes means available for use.
Display in Drop-Down: Yes means available for selecting in drop-downs on the CBE Competency Definitions page.
Click Create and close or Save and create another.

The Name is not editable, but the other fields are.

CBE Type Definitions
Use this page to view, edit, and download CBE types. Types are the first elements of CBEs. CBEs can be individual Competencies or Units that can contain several competencies.
Tip
You can't create or delete CBE types.
CBE License Required
Competency Based Education requires the Competency Based Education license.
The types are provided as default data. You can't create or delete types, but you can edit several fields.
These are the fields, where they appear, and whether they're editable.
Name: Not editable. Unit and Competency are the only type names. However, these names don't appear for users. Instead, the CBE Type Name appears.
CBE Type Name: Editable. An alternative name for the type. This alternative name is what appears when you're creating competencies on the CBE Competency Definitions page and when users are assigning competencies to courses and sections on the Competencies tab of Manage Catalog Course Details and Manage Section Details pages. Up to 30 characters. Note: "CBE" in this field label is whatever your school uses for the CBE display name.
Allow Child Competency: Yes or No. Select Yes to allow users to create child competencies from competencies of this type.
Description: Editable. Use this to explain the type to users on this page. The Description doesn't appear elsewhere. Up to 60 characters.
Active: Yes or No. Yes makes the type usable.
Display in Drop-Down: Yes or No. Selecting yes makes the type available for creating competencies on the CBE Competency Definitions page and when adding a competency to a course or section in the Competencies tab of the Manage Catalog Course Details and Manage Section Details pages.
Desktop Location
You can define CBE types in Desktop, too, on the CBE Type Definition window. It's found in the Settings - Competencies activity center.
