Course Information - Access to All Courses Permissions

The default Course Information - Access to All Courses role is for users who need access to all courses for current, previous and future terms, users who need to view/enter grades for all courses, users who need to grant overrides for course-full, requisite, and schedule conflict errors for all courses, and users who need to give course registration permission for all courses. This may include instructors, department heads, and registrars.

Can access courses for all academic years

View courses in past and future terms. This means they can view courses before and after the limits set for most users on the Registration Settings page.

View the roster of all courses. See details on the students including divisions, degrees, and programs, as well as contact information for the student and their advisors.

Can view attendance

View attendance reports, which is relevant to retention and reporting.

Can report attendance

Submit attendance reports, which provides information that can help improve retention and be used for reporting.

Can view grades

Access the grade entry page of all courses.

Can enter grades for open grading periods

Enter or edit grades for any open grading period.

Can view course overrides

View course overrides including course, term, student, override and status, as well as the date it was entered and who created it. They can filter the list with search phrases or sort by column.

Grant Course Full overrides.

Can grant course requisite overrides

Users with this permission can grant Course Requisite overrides. This includes overrides for prerequisite, corequisite, or prohibited course registration error.

Can grant registration permission required overrides

Grant Registration Permission Required overrides. This includes granting permission for a student to register for a course requiring faculty approval.

Can grant schedule conflict overrides

This overrides errors with overlapping days and times.

Can skip sending email for student overrides

Skip sending an email notifying a student that an override was granted, denied, revoked, or reinstated.

These permissions allow the overrides for any student in any course section.

Department Head Course Access Permissions

The default Department Head Course Access role is for users who need access to department course information and students enrolled in courses within their department. Permission options include the ability to edit all department course information, enter grades for all courses, grant overrides for course-full, requisite, and schedule conflict errors for department courses, and give course registration permission for department courses.

You can associate the permissions with one or more departments. Therefore, you might want to make multiple copies of this permission to assign to the various departments. For example, you could have an Art Department Head role, a Math Department role, and so on.

Can view academic plan

Access view-only academic plan information including major/ minor/ certification requirements and progress towards these requirements, which aids staff with planning students’ curricula and ensuring they make progress on their program.

They can see notifications if there are requirements that have not yet been assigned to the student's plan, and access a view-only version of the student's academic plan. Users who need access to all students in department courses in this role cannot modify the plan.

Users can also export the plan to PDF for distribution.

Note

If your school is not using  academic planning, permission is not needed.

Can view FERPA permissions

Can view undergrad test scores

View results of undergraduate tests, which aids with planning students’ curricula and ensuring they make progress on their program.

Can view graduate test scores

This aids instructors with planning students’ curricula and ensuring they make progress on their program.

Can view student section list

View the student's course history elements including repeats, earned hours, and quality points. This aids staff with planning students’ curricula and ensuring they make progress on their program.

These can be used only for students in course sections in departments associated with this role.

Faculty - Access to Courses and Students by Course Permissions

The default Faculty Access to Courses and Students by Course is for faculty members and instructors who need access to the  courses they instruct and the students enrolled in those courses. Permission options include the ability to view and enter attendance and grades, grant overrides, view academic plans and test scores, and give course registration approvals.

Users with this permission can. . .

Can view student summary

View a student's overview, which includes information about Financial Aid, GPA, classification, and registration rules as well as contact information.

Can view financial aid status

View their students' current Satisfactory Academic Progress (SAP) status maintained in Desktop. This aids instructors in ensuring students are completing the required coursework at regulated standards to meet federal aid requirements.

Can view retention score

View their students' current Jenzabar Retention status. The will only have access to the information they currently have privilege to access in RMS. This aids instructors in ensuring students identified as “at risk” get needed additional attention.

Note

If your school is not licensed to use Jenzabar Retention, retention information does not appear.

Can clear to register

Clear their students to register for courses, which ensures students get needed clearance to register for their courses.. If your school does not require registration clearance, permission is not needed.

Note

Users can have permission to this feature, but it only applies to those students requiring clearance based on the web registration group configuration on the Desktop Year Term Subterm window, Control tabs.

Can perform registration approval

Approve their students' course load to complete the registration process, which ensures students get the approval required for them to complete the registration process. If your school does not require students to get registration approval, permission is not needed.

Note

Users can have permission to this feature, but it only applies to those students requiring approval based on the web registration group configuration on the Desktop Year Term Subterm window, Control tabs.

Can view graduation status

Review who has applied to graduate and where their students are within the process. If your school does not track the IPEDS graduation information, permission is not needed. Aids instructors in ensuring their students are completing the steps needed by your school to graduate. Graduation stages vary according to school and are set up and maintained in the Desktop application.

Can view academic plan

Access view-only academic plan information including major/ minor/ certification requirements and progress towards these requirements, which aids staff with planning students’ curricula and ensuring they make progress on their program.

They can see notifications if there are requirements that have not yet been assigned to the student's plan, and access a view-only version of the student's academic plan.

Users who need access to all students in department courses in this role cannot modify the plan. Users can also export the plan to PDF for distribution.

Can edit academic plans and approve student edits

View and edit detailed academic plan information, which aids instructors with planning students’ curricula and ensuring they make progress on their program. All features available with Can view academic plans permission are also available with this permission.

  • Access academic plan information for the students including major/ minor/ certification requirements and progress towards these requirements.

  • Export the plan to PDF for distribution.

  • Notify advisors if there are requirements that have not yet been assigned to the student's plan.

  • Add or remove terms to the student's plan as needed to meet program requirements.

  • Assign and remove program requirements to the student's plan as needed.

If your school is not using  academic planning, permission is not needed.

View the Success Team block on the Advisee Spotlight page. Contact Success Team members, which may include advisors, instructors, coaches, and location managers.

Registrars Permissions

The default Registrars role is for users who need access to Registration features related to courses, sections, overrides, grades, attendance, competency-based education (CBE), faculty, and students.

Tip

The Registrars role has many of the same permissions available as the Registration Module Manager role, but there are differences. For a list of differences, see the Differences between Registrars and Module Manager Roles section below.

Each permission in the Manage Definitions category controls user access to a particular definition page, such as the Degree Definitions page or the Group Registration Definitions page.

Most of these give permission to manage, which means the user can view, edit, and delete existing definitions on that page and also download the definitions to an Excel file. They can also create new definitions for that page.

A few permissions are for viewing rather than managing. A user with view permission can see the definition page but can't edit, delete, download, or create definitions.

View, edit, create, download, delete and track the status of transcript requests. Process the requests to create transcripts.

Can unlock / edit a locked program (degree)

Lock or unlock a degree. Locked degree and program information can't be edited. When the degree lock off is disabled, information can be edited.

Withdraw a student from a section only if the section doesn't have History status.

Add one or more schedules to a section. For example, the section may meet daily for two weeks, then twice weekly for a time, and then once weekly. Or it may meet in different locations on rotation schedules.

Registration - Access to All Students Permissions

The default Registration - Access to All Students role is for users who need access to student registration information.

View students' current Satisfactory Academic Progress (SAP) status maintained in the Desktop application. This helps ensure students in their classes are completing the required coursework at regulated standards to meet federal aid requirements.

Can view retention score

View students’ current Jenzabar Retention status, which helps ensure students identified as “at risk” get needed additional attention. Users can only access the information they currently have privilege to access in RMS.

Note

If your school is not licensed to use Jenzabar Retention, retention information does not appear.

Can view graduation status

Review those students that have applied to graduate and where they are within the process, which helps ensure students are completing the steps needed by your school to graduate. If your school does not track the IPEDS graduation information, permission is not needed. Graduation stages vary according to school and are set up and maintained in the Desktop application.

Can view undergrad test scores

View results of reported undergraduate test scores such as SATs and information about the score including when the test was taken and if the score is official or self-reported, which assists with determining if students meet prerequisite or admission requirements, aptitude standards, and course level for admission and/or placement.

Can view graduate test scores

View results of graduate tests, such as LSATs and information about the score including when the test was taken and if the score is official or self-reported. This assists with determining if students meet prerequisite or admission requirements, aptitude standards, and course level for admission and/or placement.

Can view other test scores

Review a student's reported test scores including when the test was taken and if the score is official or self-reported. This assists with determining if students meet prerequisite or admission requirements, aptitude standards, and course level for admission and/or placement.

Can view programs

View a list of the programs offered at your school and use filter/search features to see them by year, status, and degree. They can review draft and published program information including how many students are enrolled and CIP code.

Can view student section list

View all students' course history elements including repeats, earned hours, and quality points. This helps ensure that students make progress on their programs. The student's section list can appear on the following pages, which are both accessed from the student's Summary page.

Registration Module Manager Permissions

The Registration Module Manager role is for your school's administrative users responsible for managing Registration users and features. Users in this role control the Registration hub's settings and user permissions.

Each permission in the Manage Definitions category controls user access to a particular definition page, such as the Degree Definitions page or the Group Registration Definitions page.

Most of these give permission to manage, which means the user can view, edit, and delete existing definitions on that page and also download the definitions to an Excel file. They can also create new definitions for that page.

A few permissions are for viewing rather than managing. A user with view permission can see the definition page but can't edit, delete, download, or create definitions.

Utilize existing role permissions to quickly create and customize new roles. Users can manage registration user privileges by creating as many roles with varying permissions as needed.

Can add & remove user role assignments

Add and remove users to/from roles to immediately grant and revoke access to Registration information and features.

Can change role permissions

Add/remove access to J1 Web features and information. Roles can be customized to meet the needs of different user groups. Privileges can be managed via groups as opposed to individually.

Module Managers with this permission can  grant/revoke access to student and course information according to their specific needs.

Registration Process Manager Permissions

Determine who can access the Academic Standing Update page and update the academic honors and probations assigned to students on the Student Term Summary by Division table and Student Master table.

Can run academic term conversion process

Caution! This is a one-time conversion from one credit basis to another (such as trimesters to semesters). Make sure all stakeholders agree. Consult your campus support team to help plan the process.

Determine who can access the Academic Term Conversion page and generate a conversion record in Student Course History.

Can run class rank update process

Determine who can access the Class Rank Update page and update all students' Class Rank on the Student Term Summary by Division table. Options to update the Degree History and Student Division Master tables are also available.

Can run classification update process

Determine who can access the Classification Update page and update the listed students' Classification Code on the Student Term Summary by Division table. Options to update the Student Master and Student Division Master tables are also available.

Can run recalculate academic record process

Determine who can control the academic record recalculation process. Although it runs automatically every few minutes, you can use this permission to run it for selected students, such as when you need to fix an error.

Can run recalculate enrollment counts process

Determine who can control the enrollment counts recalculation process for one or more year/terms.

Can run recalculate part-time / full-time process

Determine who can control part-time / full-time recalculation to be stored on the Student Term Summary and Student Term Summary by Division tables.

Can run registration audit process

Control registration audits to correct errors, and run the registration audit report.

Registration Reporting Manager Permissions

Reports

Assign copies of this role to people who need to run registration reports. These are internal reports for your school's information, not federal or state reports.

Each report has its own page. Only users with permission can access the page.

Institutional Reporting Manager - Registration Settings Permissions

The Registration Settings section of the Institutional Reporting Manager role is for people who need to manage aspects of reporting such as for IPEDS, NSC, and state agencies.

Settings and permissions are in transition from Desktop to J1 Web.

Manage Definitions permission gives users in this role permission to view, create edit, and delete existing definitions on that page and also download the definitions to an Excel file.
