Managing Users and Roles
This chapter explains how to manage JICS users and roles.
Key Concepts of Managing Users and Roles
In order to take certain actions in the portal, users must belong to roles that have appropriate permissions. Each user inherits the privileges that are associated with the different roles to which he or she belongs. In general, roles do not automatically have privileges associated with them (though there are some exceptions). Typically, you manually associate each role with certain privileges.
This section and chapter deal with users and roles. The next chapter, Managing Page and Context Permissions offers an overview of the types of permissions that you can associate with roles.
Users
There are two types of users in JICS, as follows:
Users who exist in the ERP system and then are imported into JICS
Users who exist in JICS only
ERP Users
Users who need to have accounts in the ERP system are created there and then are imported into JICS. This is done using the DIS (which is described in the Working with the DIS section). Most of your users are probably ERP users. For details on creating these users, see your ERP system’s documentation.
Portal-Only Users
Portal-only users are created in JICS and do not have accounts in the ERP system. This type of account should be used only for users who definitely will never need an account in the ERP system. If there is any question about whether the user will ever need an ERP record, you should create the account in the ERP system using your ERP system’s documentation as a reference.

Roles
Permissions are handled via roles, which are essentially user groups. Users are assigned to roles, and they inherit the privileges associated with those roles. Roles are described in more detail later in the next section, Roles in Detail.
Managing Deleted ERP Users
Whenever a user is deleted within the ERP system, the user is not deleted from JICS. Instead, the JICS changes the deleted user’s name to the user’s host ID from the ERP system (if it exists) and then disables the user’s account in JICS. JICS began making this change to user names starting with version 9.2.1.
A static page exists for allowing you to apply this change to ERP accounts that were deleted prior to your upgrade to JICS 9.2.1. This static page is located in the following folder:
