Adding Calendar Items

The Calendar feature offers several ways of adding calendar items. One way is by clicking the Add a calendar item button found at the top of the calendar, which will open the Add a calendar item screen, where you have access to the advanced options for adding a calendar item. These options are described in Working with Calendars.

You can also add a calendar item using the quick-add method, which allows you to enter the name and time in a pop-up window without having to visit the Add a calendar item screen. The calendar item will be automatically added to whichever calendar you have selected as the default calendar.

You can quick-add a calendar item to a calendar in any of the following ways:

  • In week or day view, click a start time on the calendar and while holding down the mouse button, drag to the end time of the calendar item.

    When you release the mouse button, the Add a calendar item pop-up window will display with the start and end times populated with the times you chose by clicking and dragging. Next, enter a name for the calendar item in the What field and click Add calendar item.

  • You can also quick-add a calendar item by simply clicking the start time on the calendar in week or day view. The Add a calendar item pop-up window similar to the one shown above will display with the selected day and start time, allowing you to fine-tune the item’s parameters. By default, the calendar item will be 30 minutes long.

  • You can also quick-add a calendar item from the month view by clicking the day of the calendar item once on the calendar. This will open the Add a calendar item pop-up window with the start time defaulting to the nearest half hour and the duration defaulting to one hour.

  • You can quick-add an all-day calendar item by clicking in the All day box in week or day view. For more information, see All-Day Calendar Items.

Tips for Adding Calendar Items

Following are some useful tips on adding calendar items:

  • To add a calendar item to a calendar, you must first navigate to the context that contains the Calendar feature instance. That is, while you can view a particular calendar overlaid on top of other calendars as part of your My Calendar feed, the My Calendar view is essentially a read-only “subscription” view.

  • Note that when you add a calendar item directly to the course calendar, you cannot track students’ attendance for it. If you want to track attendance, you should navigate to the Attendance feature and create a session on the desired day. Sessions created in the Attendance feature automatically show up in the course calendar (and you can also take attendance for them). For details, refer to the Add Sessions section.

  • Week and day views are best for quick-adding calendar items, as they allow you to specify start and end times by clicking and dragging.

Editing Calendar Items

The Calendar feature offers a variety of ways to edit an calendar item on the calendar.

Note

To edit an item on a calendar, you must be the calendar owner. Some items, such as assignment due dates and class sessions, cannot be edited from the calendar. To make changes to such items, you must do so within the Coursework feature. Changes that you make in the Coursework feature will be reflected on the calendar.

The quick-add method is available in month, week, or day view.

Note

When you quick-add a calendar item, the item is added to the default calendar for the feature instance. For more information on default calendars, see Make a Calendar the Default Calendar.

  1. Navigate to the feature instance that contains the calendar to which you want to add a calendar item.

  2. Take one of the following actions:

    • Click a start time on the calendar and while holding down the mouse button, drag to the end time (week or day view only).

    • Click once on a start time on the calendar (week or day view only). Note that if you click in the All day box for a given day, you will be creating an all-day calendar item, as explained in Quick-Add an All-Day Calendar Item.

    • Click once on a day on the calendar (month view only)

    The Add a calendar item pop-up window displays. The start time and end time are prepopulated based on where you clicked and dragged on the calendar. If you single-clicked on the calendar in week or day view, the end time will be 30 minutes after the start time by default. If you single-clicked on a day in month view, the start time will default to the nearest half hour, and the end time will default to one hour later.

  3. In the What field, enter a name for the calendar item. This is a required field.

  4. If necessary, make changes to the start and end time.

  5. Click Add calendar item.

    The Add a calendar item pop-up window closes, and the calendar redisplays with the new item added.

In addition to the quick-add option, you can also add a calendar item using the advanced options found on the Add a calendar item screen. While the Add a calendar item pop-up window allows you to create a calendar item by simply entering the item’s name and time, the Add a calendar item screen also allows you to enter a description, select a calendar, make the item recurring, and enter a location.

You can access the Add a calendar item screen in either of the following ways:

  • Click the Add a calendar item button located at the top of the calendar.

  • You can also open the Add a calendar item screen by clicking the Advanced options link in the Add a calendar item pop-up window.

To add a calendar item using the advanced options:

  1. Navigate to the feature instance that contains the calendar to which you want to add a calendar item.

  2. Take one of the following actions:

    • In week or day view, click a start time on the calendar and while holding down the mouse button, drag to the end time. The Add a calendar item pop-up window displays. Click Advanced options in this pop-up window.

    • In week or day view, click once on a start time on the calendar. The Add a calendar item pop-up window displays. Click Advanced options in this pop-up window.

    • In month view click once on a day on the calendar.

    • In any calendar view, click the Add a calendar item button.

    The Add a calendar item screen displays. The start time and end time are prepopulated based on where you clicked and dragged on the calendar. If you single-clicked on the calendar, the end time will be 30 minutes after the start time by default. If you single-clicked on a day in month view, the start time will default to the nearest half hour, and the end time will default to one hour later.

  3. Fill out the fields on the Add a calendar item screen as appropriate. For general descriptions of these fields and for information about all-day and recurring calendar items, see Adding Calendar Items.

  4. Click Add calendar item.

    The Add a calendar item screen closes, and the calendar redisplays with the new item added.

  1. Navigate to the Calendar feature instance that contains the calendar item you wish to view.

  2. Locate the item on the calendar.

  3. Click the item.

    The calendar item details display in a pop-up window. If you are viewing a calendar item that you have permission to edit, an Edit calendar item link will appear, allowing you to make changes, as described in Adding Calendar Items.

You can edit some calendar item attributes by dragging and dropping items on the calendar.

  • To reschedule an item, drag and drop it onto a different day or time slot on the calendar. You can do this in month, week, or day view.

  • To change the end time of an item, click and drag the bottom of its box on the calendar.

  1. Navigate to the Calendar feature instance that contains the item you wish to edit.

  2. Switch to either week or day view and locate the item on the calendar.

  3. Hover the pointer over the bottom edge of the item.

  4. Click and drag the bottom edge of the box to a different time. To shorten the meeting, drag upwards; to lengthen the meeting, drag downwards. As you drag, the end time of the meeting will update to reflect the new time.

    If the item is not a recurring one, the change is applied immediately.

    If the item is a recurring one, a pop-up window asks if you would like to edit only the single calendar item or all future items in the series. Click This calendar item only or Future calendar items to apply the desired change.

Take the following steps to change an item’s start and end times by dragging and dropping it onto a different day or time slot on the calendar.

  1. Navigate to the Calendar feature instance that contains the calendar item you wish to edit.

  2. In month, week, or day view, locate the calendar item on the calendar.

  3. Click the item, and while holding down the mouse button, drag the item to its new day or time on the calendar.

  4. Drop the item into the new time slot.

    If the calendar item is not a recurring one, the change is applied immediately.

    If the calendar item is a recurring one, a pop-up window will ask if you would like to edit only the single calendar item or all future items in the series. In this case, click This calendar item only or Future calendar items to apply the change as desired.

    If you click This calendar item only, the pop-up window closes, and the change is applied.

    If you click Future calendar items, the pop-up window closes, and the Edit calendar item screen displays to allow you to make your desired changes to the recurring item.

You can also edit a calendar item’s attributes from the Edit calendar item screen.

  1. Navigate to the Calendar feature instance that contains the calendar item you wish to edit.

  2. Locate the item on the calendar.

  3. Click the item.

    The calendar item details display in a pop-up window. If you are viewing a calendar item that you have permission to edit, an Edit calendar item link will appear.

  4. Click Edit calendar item.

  5. Take one of the following steps:

    • If the calendar item is not recurring, the Edit calendar item screen appears. Go to step 6.

    • If the calendar item is a recurring one, a pop-up window will ask if you would like to edit only the single item or all future items in the series. Click This calendar item only or Future calendar items to open the Edit calendar item screen.

  6. On the Edit calendar item screen, make changes to the item’s attributes as you see fit.

  7. Click Update. The Edit calendar item screen closes, and the calendar redisplays with your changes reflected.

Note

To delete a calendar item from a calendar, you must be the calendar owner. Some items, such as assignment due dates and class sessions, cannot be deleted. To make changes to such items, you must do so within the Coursework feature. Changes that you make in the Coursework feature will be reflected on the calendar.

  1. Navigate to the Calendar feature instance that contains the calendar item you wish to delete.

  2. Locate the calendar item on the calendar.

  3. Click the item.

  4. Click Delete.

  5. Take one of the following steps:

    • If the calendar item is not recurring, a pop-up window will ask you to confirm the deletion. Click Confirm delete.

    • If the calendar item is a recurring one, a pop-up window will ask if you would like to delete the single calendar item or all future items in the series. Click Delete calendar item or Delete series.

    The pop-up window closes, and the calendar redisplays with the item removed.

You can now use the calendar search filter to easily look for calendar items. The filter allows you to search for calendar items either by keyword or by one or more of the options available on the search filter. Applying the calendar search filter will only display calendar items that match your search criteria.

To search calendar items using the quick keyword search:

  1. Navigate to the calendar feature instance in which you would like to search for calendar items.

  2. To use the quick keyword search, enter your keyword into the search bar and click the Searchimage468.png icon. Calendar items display that contain the keyword in their name, description, or location.

  3. You can also search using the quick keyword filter by clicking the drop-down icon image470.png to open the filter.

  4. To search using the quick keyword search, select the Keyword checkbox and type your keyword(s) into the field below.

  5. Click Search. Calendar items containing the keyword display.

To search calendar items using the filter:

  1. Navigate to the calendar feature instance you would like to search for calendar items in.

  2. Click the drop-down icon image470.png to open the filter.

  3. To filter by one of the options, click on its checkbox and enter your search criteria into corresponding fields that appear. You can choose one or more of the following options to filter by. However, these options cannot be used at the same time as the keyword quick search.

    • Included Calendars—This option allows you to filter by the calendars included on that calendar instance. Selecting this option will only display calendar items from the calendars you select.

    • Included My Calendar—This option only appears if your My Calendar feed is not set to display by default on that calendar instance. Selecting this option includes calendar items from your My Calendar feed in your search.

    • Date—This option displays calendar items that occur within the Start Date and End Date you select.

    • Name—This option will display calendar items whose name contains the keyword you enter.

    • Description—This option will display calendar items whose description contains the keyword you enter.

    • Location—This option will display calendar items whose location contains the keyword you enter.

    • Tags—This option will display calendar items that have been tagged with the tags you select.

  4. Click Search. Calendar items that match your search criteria display on your calendar view. If the Date option was selected, the calendar items matching your search criteria will display in a list view.

To remove applied calendar search filters:

  1. If you have applied calendar search filters and want to remove them, click the drop-down icon image470.png to open the filter.

  2. Click the Reset link.

  3. Click Search. The previously applied filters are removed.

You can now access an assignment directly from the calendar. To do so, click the assignment’s box on the calendar and then click View assignment.

By default, due dates for assignments will appear in the My Calendar feed for both faculty and students. When you create an assignment, you will have the option to override this default setting by selecting the Hide this assignment from all My Calendar feeds checkbox.

(To make an assignment visible to students, you either set its status to open or use the Display to students before it’s open checkbox.)

To show hide an assignment due date in My Calendar feeds:

  1. Display the Coursework feature instance for the appropriate course section, as described in the Navigate to the Coursework Feature section.

  2. Do one of the following:

    • If you are creating an assignment, click Add An Assignment to display the New Assignment screen.

    • If you want to hide the due date for an existing assignment, locate the assignment you want to modify. Click the corresponding pencil icon to display the Edit Assignment screen.

  3. Scroll down a bit until you see the area of the screen that details when the assignment is due. Notice the checkbox labeled Hide this assignment from all My Calendar feeds.

  4. Select or deselect the checkbox as appropriate.

  5. Click Save.

    If the assignment is active or inactive-but-visible, the system adds the calendar item to the My Calendar feeds of the course’s faculty and students. If the assignment is not yet visible, the system stores your preference and will add the due date to My Calendar feeds once the assignment becomes visible to students.

Using a JICS calendar’s unique iCAL link, you can subscribe to the calendar in an external application on a mobile device or PC.

Note

You can subscribe to a JICS calendar externally only if its owner has enabled the publishing of the calendar’s iCAL link, as explained in Publish a Calendar’s iCAL Link.

  1. Navigate to the Calendar feature instance.

  2. Click the Manage calendars link.

    The Manage calendars drop-down menu displays.

  3. Click the Share URL link next to the calendar to which you want to subscribe.

    The calendar’s iCAL link displays in a pop-up window. The link is highlighted so that you can copy it easily.

  4. Copy the iCAL link.

  5. Subscribe to the JICS calendar by pasting its iCAL link into the appropriate location in the external application or via the Import calendar button on the Add a calendar or Edit calendar page in the calendar feature.
