Configuring the Code Entry Method

The Code Entry method in Attendance enables faculty and administrators to use a code for students to check in to an online class session. Students can manually enter the code or scan a QR code with their mobile device to check in. The following sections describe how to configure the Code Entry method. After configuration, when adding or editing an attendance session, choose the Code Entry option on the Attendance method drop-down list.

Code Entry Setup

Codes can be set to rolling or static by using the “Rolling code” toggle button. Selecting On enables the rolling code, and selecting Off enables a static code. A rolling code means that the code automatically changes every 60 seconds, and a static code does not change unless the faculty or administrator manually enters a code on this screen or clicks the Generate icon Generate icon to generate a new code. 

The initial code method selection is not permanent and can be changed by clicking the toggle button to turn it On or Off. The Code Entry feature also enables faculty and administrators to set timers for various Attendance statuses, such as “Tardy” or “Absent”. The status timers can be set in different ways and times, e.g., “Tardy” could be set at 5 minutes after the session begins while “Absent” could be set at “When Code Entry is closed”.

  1. In the "Quick Links" section on the lower left, click the My Courses drop-down arrow to expand it.

  2. Click the course name in the drop-down list to select it.

  3. Click Attendance in the left sidebar.

  4. Click Attendance Settings on the top right.

  5. Click the Code Entry tab on the left to display the Code Entry options.

  2. To enable the static code, click the Rolling code button to turn it “Off”.

    The button changes to “Off” and displays in a red color. The Enter or generate static code field displays below the Rolling code button.

  3. If the instructor/administrator wants to change the static code, they can use one of the following options:

    • Enter another code with 6 alphanumeric characters in the Enter or generate static code field and press Enter on their keyboard.

    • Click the Generate icon Generate icon.

    The pop-up message temporarily displays “Your changes have been saved.”

The Code Entry feature also enables faculty and administrators to set status timers, which define at what point during each session a student checking in will be assigned a given status. For example, an instructor could set 5 minutes from the start of a class session to trigger the specific status of Tardy. If a status will never be assigned to a student checking in, then leave the default value of Never.

Faculty and administrators can also define when the Code Entry period will close for each session, after which students will no longer be able to check in. Additionally, they can select a status to be auto-assigned to all remaining students as soon as Code Entry has closed.

  1. Click the Status timers drop-down arrow on the right to expand the section.

  2. In the Status timers section, click the Mark as [status] option drop-down arrow and select the appropriate option for each status. All statuses have the same options:

    • Never (default)

    • Before

    • After

    • When Code Entry is closed

  3. If the Before or After option is selected, a blank minutes field displays with a red pop-up message “Enter a value for minutes”. Enter a number in the minutes field and press Enter on your keyboard.

  4. A green pop-up message displays “Your changes have been saved.” If desired, you can click the Session start time drop-down arrow (the default option) and select the Session end time option (these are the only two options).

  5. After entering the appropriate values for each status, go to the Close Code Entry field and determine if the When session ends default value is appropriate.

  6. To change the default value, click the drop-down arrow and select the desired option of Before or After.

  7. Enter a number in the minutes field and press Enter on your keyboard.

  8. If desired, you can click the Session start time drop-down arrow (the default option) and select the Session end time option (these are the only two options).
