Working with Terms
When you create a course section, you must assign it to a term or subterm. You can either assign a section to a term or subterm defined within the ERP system, or you can assign it to a portal-only term or subterm. This section describes how to create and delete portal-only terms and subterms.
How To
You might want to create a portal-only term if you are planning to create portal-only course sections that have nothing to do with the standard academic calendar defined in your ERP system. For example, if you are planning a course section designed to train employees hired in the second quarter, you might want to create a term named “Q2”. Note that once you create a term, you cannot modify it.
Navigate to an instance of the Course Creator feature and maximize it.
The full view of the Course Creator feature displays.
Click the Terms link.
A list all portal-only terms defined in the system displays.
Click Add a Term.
A form displays.
In the Term Name field, enter a name for the new term.
In the Term Code field, enter a unique code for the term. Note that once you create the department, the code—like all else about the term—cannot be changed. So be sure to enter a code that conforms to whatever naming conventions your school has decided to use.
Use the Start Date and End Date fields to define the term period.
To make the term a subterm, select a parent term from the list.
If necessary, you can select Hide from Course Search to hide the term so that it is not available for selection in the Course Creator feature. This option is useful for hiding terms created for testing purposes.
Click Save.
The Add a Term screen redisplays with the new term listed.
Note
You can delete a term only if there are no course sections associated with it.
If you delete a term that is a parent to one or more subterms, the Parent Term field for those subterms will default to None.
To delete a term:
Navigate to an instance of the Course Creator feature and maximize it.
The system displays the full view of the Course Creator feature.
Click the Terms link.
The system displays the Add a Term screen, which lists all the portal-only terms defined in the system.
Locate the term you want to delete and click the corresponding trash-barrel icon. If there is no trash-barrel icon next to the term you want to delete, that means that the term is associated with one or more course sections, and it cannot be deleted.
The system displays a pop-up window asking if you are sure you want to delete the term.
If you are sure you want to delete the term, click OK.
The system again displays the Add a Term screen, this time without the deleted term.
