Forms Item: Rules Options

Available configurations vary by form item type.

Rules allow you to control what happens when a form completer enters specific values, selects a specific option, or clicks a button. You can show or hide a group of items or tabs, validate a response, initiate a workflow when the form is submitted, etc. For example, if a form completer selects “I am an international student," you can automatically display additional items/fields about visa status and required documentation. If they do not select it, those items/fields remain hidden.

Group: Show VisaQuestions

Else Group: Hide VisaQuestions

Rules options are available for the following form items:

  • Button

  • Checkbox

  • Date / Time Pickers

  • Drop-down

  • Essay

  • Hidden

  • Radio button

  • Textbox

Condition types determine when an action should occur.

Condition Type

Description

If answer value is

Executes the action if the answer value matches the value you specify.

Every rule sequence must begin with  If answer value is.

To execute the action when any answer is entered, or when a button is selected, enter * in the answer value field.

Else if answer value is

Executes the action when the If answer value is condition fails and the new answer value matches the value you specify.

Else

Executes the action when none of the previous conditions were met.

And

Executes an additional action alongside the previous rule's action.

Action types determine what happens when a condition is met.

Action Type

Description

Form: Submit

Submits the form.

Group: Clear

Clears values from all items in the specified group.

Group: Disable

Disables all items in the group when the condition is met.

Group: Enable

Enables all items in the group when the condition is met.

Group: Hide

Hides all items in the group.

Group: Make Not Required

Removes the required asterisk and makes the items optional.

Group: Make Required

Applies the required asterisk and prevents form submission until all required answers are provided.

Group: Show

Shows all items in the group.

Group: Toggle

If the group is visible, hides it. If the group is hidden, shows it.

J1 Workflow: Add Workflow for Submission

Associates a J1 Web workflow with the form when the condition is met.

J1 Workflow: Remove Workflow for Submission

Available in J1 Web soon.

Tab: Change

Displays the specified tab (if it is visible). Commonly used with Next or Previous buttons.

Tab: Hide

Hides the specified tab and any items on it.

Tab: Show

Makes the specified tab visible, but not necessarily active.

Tab: Update Progress

Evaluates required items on the tab.

If all required responses are valid, a checkmark appears. If not, the checkmark is removed.

Email: Send

  • Use Forms rules to associate the form with a workflow that initiates an automation plan containing an email interaction.

  • Use an automation plan initiated by a J1 Web Form Submitted system event. When a form is submitted and meets any defined rules, the automation plan is initiated and can include emails, texts, notifications, To Dos, etc.

Email: Cancel

  • Use Forms rules to associate the form with a workflow that initiates an automation plan with rules that govern when the email interaction doesn't go out.

  • Use an automation plan initiated by a J1 Web Form Submitted system event with rules that govern when the email interaction in the automation plan doesn't go out.

Form: Print

Form submissions can be saved as PDF and printed from the Manage Submissions page, View form option.

Form: Quit
