External Person Contact Info Tab

Important

Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.

The Contact Info tab on the External Person Information Details page displays information about an individual's contact information including their mailing address, phone, email and address type. Depending on your permissions, you you may be able to view and potentially update this information.

Note

Historical address records are not maintained for external people.

External person information is maintain in the ExternalPerson table.

To access the External Person Information Details page, Contact Info tab, users must be assigned to an External Person Management role (or copy of it) with External Person Contact Details permissions.

Field

Description

Email

Individual's email address.

Email Type

Identifies the kind of email contact information being associated with an individual. For example, *EML or *LHP.

Phone

Individual's phone number. Enter with no spaces or characters (e.g., 15404325200).

Phone Type

Cannot be updated after the record is created. Available options are maintained in the Campus-wide Definitions hub on the Contact Definitions page.

Address Line 1, 2, 3

Up to 60 characters.

City

Up to 60 characters.

State

Available options are maintained in the Campus-wide Definitions hub, Maintain Table Values page under the "state" column name.

Zip Code

Up to 5 characters.

Country

Available options are maintained in the Campus-wide Definitions hub, Maintain Table Values page under the "country" column name.

County

Available options are maintained in the Campus-wide Definitions hub, Maintain Table Values page under the "county" column name.

How To

  1. Click the Edit details button. Fields that can be updated show the edit icon Edit Icon.

  2. Click Edit icon next to the information you want to update. The field becomes available for updating.

  3. Click in the field and make your changes.

  4. Click Save.

  5. Repeat steps 2 - 4 for each field you want to update.

  6. Click the Done editing button. Your updates are saved.

FAQ

An external person is someone added to J1 Web who was not assigned a J1 ID and does not exist in J1 Desktop. Without an ID, they cannot be assigned roles or access J1 Web, but they receive communications, be assigned workflows, and be added to events.

  • Not all information about external individuals/organizations is known.

  • Only the information entered when the person or organization was originally added to J1 Web is shown. If an address or other detail was not entered at that time, it will not appear.

Yes. They can be added to J1 Web as a user from J1 Desktop or using the Convert to internal person option.
