External Person Biograph Tab
Important
Information and features vary according to the roles to which you belong and the permissions associated with those roles. For more information, contact your module manager or your campus support team.
The Biograph tab on the External Person Information Details page displays information about an individual's sex at birth, legal sex, gender identity, pronouns, and SSN. Depending on your permissions, you may be able to view and potentially update this information.
Note
SSN information is displayed according to the masking rules defined in Data Display Access.

Historical biograph records are not maintained for external people.
External person information is maintain in the ExternalPerson table.
To access the External Person Information Details page, Biograph tab, users must be assigned to an External Person Management role (or copy of it) with External Person Biograph Information permissions.
Field | Description |

Sex at Birth | Indicates the person's sex (male or female) assigned to an individual at birth. This field can also be associated with a room such as a bathroom or dormitory room. Available options are managed in the Campus-wide Definitions hub, Maintain Table Values page under the "gender" column name. NoteAdditional options can be used for your school, but the Personnel IPEDS Reports only use the 'M' and 'F' values. |
Legal Sex | Identifies the person's sex as currently indicated on a birth certificate, passport, or other official document. It may differ from one's gender identity and/or sex assigned at birth. Available options are managed in the Campus-wide Definitions hub on the Gender Identity Definitions page. |
Gender Identity | The gender the person uses for identification. Available options are managed in the Campus-wide Definitions hub on the Gender Identity Definitions page. |
Pronouns | Personal pronouns for the person (e.g., he/him, she/her, or they/them). Available options are managed in the Campus-wide Definitions hub on the Personal Pronoun Definition page. |
How To
Click the Edit details button. Fields that can be updated show the edit icon
.Click Edit icon next to the information you want to update. The field becomes available for updating.
Click in the field and make your changes.
Click Save.
Repeat steps 2 - 4 for each field you want to update.
Click the Done editing button. Your updates are saved.
FAQ
An external person is someone added to J1 Web who was not assigned a J1 ID and does not exist in J1 Desktop. Without an ID, they cannot be assigned roles or access J1 Web, but they receive communications, be assigned workflows, and be added to events.
Not all information about external individuals/organizations is known.
Only the information entered when the person or organization was originally added to J1 Web is shown. If an address or other detail was not entered at that time, it will not appear.
Yes. They can be added to J1 Web as a user from J1 Desktop or using the Convert to internal person option.
