Academic Division

A division is a two-character code that identifies academic areas in your institution. You may add and update division definitions using the Division Definition window. When defining division codes, keep the following in mind:

·       Registration calculates a separate grade point average for each division. For example, if a student takes courses in both the undergraduate division and the graduate division, Registration calculates an undergraduate GPA and a graduate GPA for that student. If your institution tracks only one GPA per student, you may want to define only one division.

·       Registration groups grade reports and transcripts by division. Using the same example above, the student receives one transcript for graduate work and another transcript for undergraduate work.

A transcript is printed for each division code for which a student has taken courses. However, division codes are sorted and printed alphabetically. Therefore, if you have three divisions defined as CE (Continuing Education), U (Undergraduate), and M (Masters), the order in which they would print on a student's transcript would be Continuing Education courses, Masters courses, and then Undergraduate courses. If you are concerned about the order in which divisions are printed on a student's transcript, use the Group Code to request that specific divisions print out separately. Then assemble the separate transcripts in the order in which you want the divisions to appear.

·       Division is a required column in Registration. If your institution does not separate students or courses by divisions, choose one division (undergraduate) and use it in all cases. If you choose to use only one division, J1 will calculate one GPA per person and all courses on the transcript will print together.

·       The division definition impacts data conversion. Consult with the people who are creating your data conversion programs as you make your decisions.

The division code definition decision may be made only during the implementation of Registration. After the implementation, you may not change your mind about the division codes. Such a change would require a re-conversion of your registration data and is not desirable.

When defining a student's current degree, a current division is required. This division is used in several places within Registration, such as creating a Student Division Master or Degree History row for the same division, identifying the default division for transcripts when using the student's division to group courses, and for IPEDS fall enrollment reporting.

The configuration table allows you to select either the student division code (the level of the student) or the course division code (the level of the course) to be assigned to the Student Course History row. Either way, the division code determines how courses will be grouped for calculating academic totals and for generating transcripts.
