Territory Control Overview

Territory Control is configurable. A simple Yes/No column in the Admissions Configuration Control table turns the Territory Control on or off. If you are unsure as to whether you want to implement this feature, it can always be turned on after installation.

Territory Configuration allows the Admissions Office to assign a default counselor to a candidate based on the following categories:

Each of these categories (or "funnels") can be associated with an identifying code that links the territory type with a counselor.

You must first decide the territory types you will use. You may use as many as you need. Following are some examples of how you can use the territory types:

· Assign all the candidates whose last names begin with A-F to one counselor, G-R to another, and S-Z to a third.

· Assign counselors on the basis of geography: country, state, county, and/or ZIP Code range.

· Assign counselors according to the division or program the candidates are interested in.

· Assign particular counselors to handle all the candidates from particular high schools or other organizations.

· Assign counselors depending on whether the candidate will be a freshman, transfer student, or graduate student using candidacy type.

The following diagram shows three regions and one state: western states, central states, eastern states, and Virginia. Each of the regions is defined by assigning all of the states in it to a counselor. In this case, Meg, Chris, and Tom would each have a list of states assigned to them. If you want to use multi-state regions, assign counselors all the states that fall into their region. For example, Meg is responsible for the western region. She had to be assigned all the states in her region on the Territory by State window because there is no regional territory table. By defining Meg's states, we are, in fact, defining a region.

The diagram shows that TEAMS University begins the candidate-to-counselor sort by program. Seven different programs are offered at the university: Art (ART), Biology (BIO), Business (BUS), Education (EDU), English (ENG), History (HIST), and Political Science (POL). Any candidate applying for the ART, BUS, ENG, HIST, or POL program will go directly to a counselor. However, the BIO and EDU programs are more popular. These programs are further broken down by state.

Since TEAMS University is a state school, it pulls most of its applicants from its home state of Virginia. Therefore, the Virginia territory is broken down even further since there are so many Biology and Education candidates. Virginia is broken down into county regions 1, 2, and 3. (A multi-county region can be set up in the same way we set up multi-state regions.)

At this point, if most of the candidate pool comes from county region 1, we can break down the county by ZIP Codes to assign particular counselors to candidates.
