Maintain Quick Query Window

The Maintain Quick Query window is used to create all Quick Query elements. When the window is initially opened, it displays all active elements to which you have security access. Data retrieved and displayed in the detail window and subtabs is dependent on the element selected in the Tree View.

· The Find button allows you to retrieve the selected element along with its Definitions and Queries.

· The Clear button clears the current filter and again displays all elements to which you have access. It also allows you to begin a new retrieval process.

· The Show Inactive button displays all (active and inactive) Definitions and Queries (sample showing inactive).

Search By

The Search By radio buttons allow you to search for and retrieve Quick Query elements:

Available Profiles for selection are displayed in the drop-down list box when you select the Profile radio button.

Element Tree View

You can expand the Profile to view its Definitions and expand the Definitions to view its Queries.

Depending on where you right-click in the Tree View (whether it be in the white space or on a Profile, Definition, or Query), you can add or delete elements:

Element Detail

The data in this section is dependent on the element selected in the Tree View; some columns are not editable.

Subtabs

The subtabs displayed in this section are dependent on the element selected in the Tree View, and not all columns are editable.

How To

1. In the Search By group box, select the radio button for the element for which you want to search and retrieve.

2. Select the Element Name from the drop-down list.

3. Click the Find button, which populates the Tree View, the Detail section, and the subtabs for that element.

4. If you want to show active and inactive elements, click the Show Inactive button; likewise, to hide inactive elements and only show active elements, click the Hide Inactive button.

5. To initiate a new search, click the Clear button.

1. Right-click on an existing Profile Type or an existing Profile.

2. Choose Add Profile.

3. The Profile ID will be automatically populated with a number assigned by the system.

4. Enter a description in the Profile Description column.

5. On the Entities subtab, select the appropriate Entities for the Profile from the drop-down list.

6. On the Security tab, assign the appropriate security for this Profile.

7. Save.

1. Right-click on an existing Profile or an existing Definition.

2. Choose Add Definition.

3. The Definition ID will be automatically populated with a number assigned by the system.

4. Enter a description in the Definition Description column.

5. The Status column defaults to 'Active.'

6. On the Attributes subtab:

a. Select the appropriate Attribute Name.

b. In the Override Attribute Name column, enter the attribute name used at your institution or leave the default value.

c. If needed, select the Default Operator.

d. If needed, select/Enter the Default Values. You may be able to prompt for a list of values by clicking the button.

e. Select the Prompt for Input checkbox if you want to prompt for a value the query is run.

f. Enter the order in which you want the attributes to display on this subtab and the initial order of display on the Query's Detail subtab or the Quick Query Run window.

7. Save.

1. Right-click on an existing Definition or an existing Query and choose Add Query

or

Select a Query, and click the New Query button in the subtab area.

2. The Query ID will be automatically populated with a number assigned by the system.

3. Enter the Query Name in the Search Name column.

4. Enter a description in the Query Description column.

5. You can indicate public or private access.

a. To indicate public access, select the Public Access checkbox. The Query Owner column is not editable.

b. To indicate private access, clear the Public Access checkbox. Select the appropriate owner from the Query Owner drop-down list.

6. The Status column defaults to 'Active.'

7. On the Details subtab:

a. Select the appropriate Operator for the Attribute from the drop-down list.

b. Select/Enter the Value for the Attribute to use in the query. If the attribute type is enumerated, Jenzabar recommends that you click the button to display and select from the list of available values.

8. On the Output Def subtab:

a. Select the Attribute Name from the drop-down list.

b. You can use the default Column Header or you can edit this header, which displays on the report.

c. In the Display Order column enter the order in which you want the columns to display on the Results tab.

9. On the Sort subtab:

a. Select the attributes(s) by which the resulting records will be sorted.

b. In the Sort Sequence column, indicate the order in which you want the resulting records to be sorted.

c. Indicate if the sort is to be Ascending or Descending in the Asc/Desc column.

10. In the Retrieve Query As group box, indicate if you want the results of this query to be New Results, Filtered from a Previous query, or Appended to a Previous query.

11. Save.

2. Choose Delete Profile.

3. The Profile and its associated Definitions and Queries are deleted.

2. Choose Delete Definition.

3. The Definition and its associate Queries are deleted.

1. Right-click on the appropriate Query.

2. Choose Delete Query.

3. The Query is deleted.

1. Right-click on the appropriate Definition in the Tree View.

2. Choose the appropriate value (Active or Inactive) from the Status drop-down list.

3. The Definition and its associate Queries are activated/inactivated.

1. Click on the appropriate Query in the Tree View.

2. Choose the appropriate value (Active or Inactive) from the Status drop-down list.

3. The Query is activated/inactivated.

1. On the Maintain Quick Query window, select the appropriate Query in the Tree View.

2. Edit any necessary query data on the Details, Output Def, and/or Sort tabs.

3. Click the Run Query button.

4. You may modify the results of the query by clicking one of the radio buttons in the Retrieve Query As group box.

5. You can save the results by clicking the Save icon [(), which is only available when the Results tab is active]. This icon opens the Save as prompt window. You can also print the results by clicking the Print icon (), which sends the results to the default printer.

OR

1. On the Run Quick Query window, select the appropriate Query in the Tree View.

2. Edit any necessary query data on the Details, Output Def, and/or Sort tabs.

3. Click the Run Query button.

4. You may modify the results of the query by clicking one of the radio buttons in the Retrieve Query As group box.
