This button is available if you have permission to create new queries. If you click this button to create a new query, some of the Query columns are not available for you to edit and some of the rows in the Details subtab are not available for you to edit.

Rows that have a Default Value or rows that prompt you for input are not editable.

You can save this query as a new query or override the previous query.

Click this button to run the selected query. The Prompt for Input window is displayed if there are attributes that require you to enter a value. The results are displayed on the Results tab.

These options are only available when a query is selected on this window and can only be used for queries with the same Profile.

If you try to run a query for one Profile and then try to append or filter the query for a different Profile, you will not be allowed to do.

When you select the New Results radio button and run the query, the results for the query being run are displayed on the Results subtab. Any results from previous query runs are overwritten.

In order to Filter Previous results, there must be results from a previous query run displayed on the Results subtab. When you select this radio button and run the query, the results from the previous query are filtered by this new query and the results are displayed on the Results subtab.

If you select the Append to Previous radio button and run the query, the current query results are displayed along with the results from the previous query run.

This tab displays Attribute Names for all Entities assigned to this Query. These Attributes are available for selection along with Operator and Value, which allows you to filter the data to get the desired results.

The Operator drop-down list includes Equal (=), Not Equal (<>), In, Not In, Less Than (<), Less Than or Equal (<=), Greater Than (>), Greater Than or Equal (>=), Like, Not Like, and Between.

If the attribute is an enumerated attribute, the button is displayed and allows you to select one or more appropriate values.

If the attribute is a major/minor, the button displays a list of majors/minors> If the attribute requires a Yes/No value, the button displays those values for your selection. If the attribute is a date, a drop-down calendar is available to ensure that the format is correct. If the attribute is a character type, it must be enclosed in single quotes. If the attribute is a numeric or integer type, alphanumeric characters are not allowed.

This tab lists the final Output columns for the selected query.

The Attribute Name drop-down list includes all available attributes for all Entities defined by this Profile.

The Column Header for the Attribute Name displays on the report and can be edited.

The Display Order column allows you to indicate in which order the columns will be displayed on the Results tab.

This tab is used to define the sort columns and the sort order for the sort columns. This sort may be performed on an attribute that has not been selected for the Output definition.

Order the attributes in the Sort Sequence column and then indicate if the sort is to be Ascending or Descending.

This tab is used to display the results when the selected query is run. If defined, the columns on the Output tab are displayed. If there is no Output definition for this query, the query will not run.
You can save the results by clicking the Save icon [(), which is only available when the Results subtab is active]. This icon opens the Save as prompt window. You can also print the results by clicking the Print icon (), which sends the results to the default printer.

1.    In the Search By group box, select the radio button for the element for which you want to search and retrieve.

2.    Select the Element Name from the drop-down list.

3.    Click the Find button, which populates the Tree if the element is a Definition and the Tree, Detail panel, and tabs if the element is a query.

4.    To initiate a new search, click the Clear button.

 

You cannot add Profile Types, Profiles, or Definitions.

1.    Right-click on an existing Definition or an existing Query and choose Add Query

or

Select a Query, and click the New Query button in the tab area.

2.    The Query ID is automatically populated with a number assigned by the system.

3.    Enter the Query Name in the Search Name column.

4.    Enter a description in the Query Description column.

5.    You can indicate public or private access.

a.    To indicate public access, select the Public Access checkbox. The Query Owner column is not editable.

b.    To indicate private access, clear the Public Access checkbox. Select the appropriate owner from the Query Owner drop-down list.

6.    The Status column defaults to 'Active.'

7.    On the Details tab:

a.    Select the appropriate Operator for the Attribute from the drop-down list.

b.    Select/Enter the Value for the Attribute to use in the query. If the attribute type is enumerated, Jenzabar recommends that you use the button to display and select from a list of available values.

8.    On the Output Def tab:

a.    Select the Attribute Name from the drop-down list.

b.    You can use the default Column Header or you can edit this header, which displays on the report.

c.     In the Display Order column, enter the order in which you want the columns to display on the Results tab.

9.    On the Sort tab:

a.    Select the attributes by which the query result is to be selected.

b.    In the Sort Sequence column, indicate the order in which you want the query resulting records to be sorted.

c.     Indicate if the sort is to be Ascending or Descending in the Asc/Desc column.

10.  In the Retrieve Query As group box, indicate if you want the results of this query to be New Results, Filtered from a Previous query, or Appended to a Previous query.

11.  Save.

 

You cannot delete Profile Types, Profiles, and Definitions.

1.    Search for the appropriate Query.

2.    Right-click and choose Delete Query.

3.    The Query is deleted.

 

You do not have the option to activate or de\\inactivate Profile Types, Profiles, and Definitions.

1.    In the Detail panel, choose the appropriate value (Active or Inactive) from the Status drop-down list.

2.    The Query is activated/inactivated.

 

1.    On the Run Quick Query window, search for the appropriate Query.

2.    Edit any necessary query data on the Details, Output Def, and/or Sort tabs.

3.    Click the Run Query button. The results are displayed on the Results tab.

4.    You may modify the results of the query by clicking one of the radio buttons in the Retrieve Query As group box.

5.    You can save the results by clicking the Save icon [(), which is only available when the Results tab is active]. This icon opens the Save as prompt window. You can also print the results by clicking the Print icon (), which sends the results to the default printer.
