Transfer Entry Window

This window is used to enter transfer coursework in detail or summary and allows you to register students for transfer courses or courses from the institution. It is also used to correct academic record information for work that was taken locally.

The Transfer Entry window is a "back door" to registration and does not perform all of the validations performed in the Student Registration window, where you can also enter transfer course information.

·       The Course Code column uses the Section Master table as a search default; however, you may use the Catalog Lookup right-click option and choose to search the entire catalog for the appropriate course code. The Recalculate Academic Record function runs as soon as you save.

·       A Grade is required on this window. If you select a grade before you choose a Grade Scale and Credit Type, J1 fills in the Grade Scale and Credit Type columns with the codes that correspond to the selected grade. If you select the Grade Scale and/or Credit Type first, J1 filters the values in the Grade drop-down list and displays the grades that correspond to the selected grade scale and/or credit type.

·       When you select the Transfer Summary or the Local Summary radio button at the top of the window, you can add Quality Points to a student's course record, even if there are no GPA Hours. If no GPA Hours are provided for that particular term, a GPA will not be calculated for that term but the Quality Points are added appropriately to the Transfer, Local, and/or Career Hours.

·       Although charges may have already been generated for a course, you can delete a Student Course History row from this window. In this case, a message indicates manual adjustments may need to be made to the student's bill.

·       If you select Academic Credit Varies by Division on the Registration Configuration window, the word "Hours" will be replaced with the label you created on the Division Definition window for the following column/field headers: Total Hours (header), Credit Hours, Hours Attempted, Hours Earned, and Hours GPA.

·       The Advising Requirement Code is used to identify this course within Advising by right-clicking on the Advising Requirement Code column, selecting the Advising Codes Lookup option, and choosing the appropriate advising requirement code. If you base repeats, prerequisites, corerequisites, or prohibited courses on Advising Requirement Codes and any of these courses are used in any of those ways, you should select Advising Requirement Codes on this window. If you select an Advising Requirement Code for which more than one Catalog Master table row exists, the Catalog Lookup window is displayed for you to select the appropriate row.

·       The Transfer Repeats prompt window will be displayed if you add transfer courses via the Catalog Lookup window that are repeats of courses in the selected student's Student Course History record (based on the Repeat Flag Based on Catalog/Requirement).
