Year

Reports, transcripts, etc., use the academic year code to select, sort, and print. An academic year is identified by a four-character alphanumeric code and an associated description that is defined on the Year Definition window. If you are not sure how your organization defines year codes and descriptions, check with the Registrar for confirmation. If your organization purchased the Registration module, the Registrar will define these codes. The term code can be joined with a year code to define a specific academic year and term.  

Most organizations have academic years that span two calendar years, usually beginning in August or September and running through the following July or August.

 

The year code 2009 could represent the 2008-2009 school year, or it could represent the 2009-2010 school year. Either way is acceptable as long as you are consistent in defining the year codes and descriptions.

Although some organizations choose to use the second calendar year of the academic year (example), Jenzabar recommends that organizations code the academic year by using the calendar year of the first term (example). Jenzabar also recommends that you code years so they will sort in chronological order.

Transaction Entry window

This column is displayed for all source codes that have been marked as eligible for the 1098T calculation on the Source Code window.

This column is required if a value is selected in the 1098T Eligibility column. Select the appropriate value from the drop-down list, which displays valid values for the selected term from the Year Term Table.

Maintain Candidacy window

In order for both the Year and Term to display on the Candidacy tab of the Maintain Candidacy window in AD, you must add the row to the YR_TRM_SBTRM_TABLE via the Year Term Subterm window.

Calculate Satisfactory Progress window

Select the appropriate year from the drop-down list. This value is required.
