Registration Permissions Window

This window is only available for a system administrator or supervisor.

Each user of Registration can be given authority to override error messages and perform other functions within Registration. The permissions in this table expand on the function security that is defined in system security tables and is related to Registration-specific windows and processes.

Group

This group box lists the Group IDs of groups for which permission can be set. When you select a group, the two tabs display permissions settings for that group. These permissions settings can be changed.

You can add a group by clicking the Add Group... button or delete a group by clicking the Delete Group... button.

Standard Module Permissions Tab

This tab determines the group's permissions within Registration.

Student Override Permissions:
	Override Student Holds/Warning Errors You can override student holds using 1 of 4 options: § Cannot Override § Warnings Only § Holds Only § Both Holds and Warnings Override Hours Overload Error If this checkbox is selected, users in the group can register a student with an overload based on the Full Time Upper Limit on the Part-Time/Full-Time Definition window for the student's current division and term in which the student is being registered. If the checkbox is cleared, users will not be able to register a student with an Hours Overload error.
Registration Status Permissions:
	Course Full The values that appear in this drop-down are based on the Exceeding Course Capacity radio button selected on the Configuration Table tab in the Registration Configuration window. If the school has selected Allow "Current" registrations by all users (Permission is not required to overenroll course; wait list process is inactive), then the column is disabled in the Registration Permissions window. If the school has selected Allow "Current" registrations by permissions only. (Permission is required to overenroll courses; wait list process is inactive), then the school may autorize a group for: None ('N') - This group can't register a student for a course that's full. All Current Registrations ('C') - This group can register a student and assign a "Current" transaction status for a course that's full. If the school has selected Allow "Waitlisted" registrations/change to "Current" status by permission only. (Permission is required to waitlist/overenroll courses; wait list process is active), the school may authorize a group for: None ('N') - This group cannot register a student for a course that is full. Allow "Waitlisted" Registrations ('W') - This group can register a student for a course that is full with a "Waitlisted" transaction status. Allow "Waitlisted" Registrations ('W') - This group can register a student for a course that is full with a "Waitlisted" transaction status and then can use the Manage tab to change that "Waitlisted" status to "Current." Delete If this checkbox is selected, the users in this group will be allowed to delete courses in the Student Registration window. If it is cleared, the "dropped" option will not appear in the Status drop-down on the Registration tab. On the Manage tab, only the radio buttons to which the user has permissions will be available. Drop If this checkbox is selected, the users in this group will be allowed to drop courses in the Student Registration window. If it is cleared, the "dropped" option will not appear in the Status drop-down on the Registration tab. On the Manage tab, only the radio buttons to which the user has permissions will be available.
Course Override Permissions:
	Override Prerequisite Errors If this checkbox is selected, users in the group can register a student for a course for which the student has not met a course or non-course prerequiste. The Prerequisite Error flag is selected on Student Course Details window. If cleared, the users in the group cannot register a student who has not met the prerequisites. Override Corequisite Errors If this checkbox is selected, users in the group can register a student for a course for which the student has not met a course or non-course corequisite. The Corequisite Error flag is selected on Student Course Details window. If cleared, the users in the group cannot register a student who has not met his corequisites. Override Prohibited Course Errors If this checkbox is selected, users in the group can register a student for a course that is prohibited based on a previous course the student has taken or non-course requisite that the student already met. The Prohibited Error flag is checked on Student Course Details window. If cleared, the users in the group cannot register a student for a prohibited course. Override Repeat (Course Already Taken) Errors If this checkbox is selected, users in the group can register a student for a course that repeats a course the user has already taken. If the user overrides the Repeat error, then an 'R' is put in the Repeat Flag on Student Course Details. At the time a student receives a grade and Recalculate Academic Record is performed, the "" (forgiven course) and the 'R' (course that is counted in GPA) are marked and used to determine GPA calculations. If cleared, the users in the group cannot register a student for a repeat course. Override Schedule Conflict Errors If this checkbox is selected, users in the group can register a student for a course that has one or more schedule conflicts. The Time Conflict Error flag is selected on Student Course Details window. If cleared, users in the group cannot register a student for a class that causes a schedule conflict. Override Course Not Found Errors If this checkbox is selected, users in the group can register a student for a course that is not found in the Catalog Master and the Section Master. This typically is an error associated with Transfer Courses. The Course Not Found Error flag is selected on Student Course Details window. If cleared, users in this group cannot register a student for a course that is not found. Override Student Registration Locations Errors If this checkbox is selected, users in the group can register a student under the following conditions: o If the student has Registration Locations selected on the Course Locations tab of the Student information window, then the user is able to register the student for a course from another location. o If the student has no Registration Locations selected, then the student can be registered for a course from any location. o There is no error flag on Student Course Details window for this override. If cleared, users in this group cannot register a student with locations errors.* Override Minimum/Maximum Credits Errors If this checkbox is selected, users in the group can register a student in courses with variable credits for fewer hours than the defined Minimum Credits on the Section Master and for more hours than the defined Maximum Credits on the Section Master. There is no error flag on Student Course Details window for this override. If cleared, users in this group cannot register a student with minimum/maximum credits errors.
Other Permissions:
	Rights to Change Grades If this checkbox is selected, users in the group can do grade changes. Rights to Edit Student Course Details That Are Not History Records If this checkbox is selected, users in the group can edit Student Course Details data for courses that do not yet have a "History" transaction status. This permission is applied in the following windows: o Student Registration, Manage tab, Register subtab and Student Course Details subtab o Courses, Class List tab If a department is selected in this drop-down, then the user can only register students for courses in this department. Even though Tasklist may prohibit a user from access to the Grade Change window, users who are allowed Rights to Edit Student Course Details for History Records will still be able to edit grades in the windows listed above. Rights to Edit Student Course Details for History Records If this checkbox is selected, users in the group can edit Student Course Details data for courses that do not yet have a "History" transaction status. This permission is applied in the following windows: o Student Registration, Manage tab, Register subtab and Student Course Details subtab o Courses, Class List tab If a department is selected in this drop-down, then the user can only register students for courses in this department. Even though Tasklist may prohibit a user from access to the Grade Change window, users who are allowed Rights to Edit Student Course Details for History Records will still be able to edit grades in the windows listed above. Rights to Delete History Registrations If this checkbox is selected, users in the group can delete Student Course History data. This permission is applied in the following windows: o Student Registration, Manage tab, Register subtab and Student Course Details subtab o Courses, Class List tab

CRM Module Permission Tab

This tab determines the group's permissions within campus portal (JICS). It will only appear if you are licensed for the appropriate campus portal (JICS) CRMs.
