This window automatically opens in either of these circumstances:
You give a student a grade for which the Withdrawal Grade box is selected on the Grade Table Definition window.
You click the Withdraw button in the Drop Course Settings window.
![]() |
In the Drop Course Settings window, the Withdraw button is only enabled when the Last Date of Attendance or the Drop Date is after the Census Date. |
It provides a view of the course details, withdrawal information, and the withdrawal grade code. The Grade Scale, Credit Type, and Grade Code defaults from the Student Course History row; however, you may press the Lookup button and select another withdrawal grade code. When a W grade has been applied to a registration using this method, the Academic Update is run and the Course Status is changed to 'H' (History). The PT/FT Update is also run.
If all of the student’s courses are withdrawn in a selected year and term, a row is written to the NSC Registration Transaction table with an enrollment status of “Withdrawn.”

Set parameters for withdrawals on the Registration Configuration window | Configuration Table tab | Withdrawal Controls group box. Select Use Course Withdrawal Limit to enable limits. |
If a student is not exempt from the limit and has not yet reached the limit set by your institution, then the Add to withdrawal count box is displayed and is selected by default. When you enter or select a Withdrawal Grade and click the OK button, the Student Course History row adds a count of 1 toward the limit.
A student may be exempt from the withdrawal limit in either of the following ways:
If on the Student Information window on the Student tab the Student is exempt from withdrawal limit box is selected.
If the student’s Entrance Year and Entrance Term is before the Entrance Year and Entrance Term selected with the withdrawal configurations on the Registration Configuration window, Configuration Table tab.
If the student is exempt then the Add to withdrawal count box does not display in the Withdrawal Details Entry window. A message appears: “Student is exempt from Withdrawal/Drop Limit.”
If the student has reached the limit, a message appears. The Add to withdrawal count box is disabled and unchecked.
If you changed the status of several courses to 'Dropped' or 'Deleted', this checkbox allows you to apply the values in the following columns to each of those courses:
Last Date of Attendance
Withdrawal Date
Withdrawal Reason
Final Grade
Midterm Grade
