These two windows are identical:
· Degree History window
· Student Information window | Degree tab
Use either window to enter, update, and review degree and graduation information for a student. You can view student transcripts, leaves of absence, and progress toward graduation.
The panel on the left-hand side displays all degrees earned or pursued, active and inactive, including degrees earned at other institutions. The row with the Current Degree check box selected appears at the top. To view detailed information, click on the degree.
Even though an ID Number can have many
active degrees, only one degree can be current. If any degree is locked
(DEGREE_HISTORY.DEG_LOCK_FLG = 'L'), the Lock icon ()
is displayed.
Active degrees are those degrees that
a student is currently pursuing; therefore, it is possible to have
multiple active degrees. If
you are using Advising and have Degree
Aim Cross Reference populated,
then aims are created for all active degrees.
This date is the date the ID Number applied for the degree.
This is the date the student received the degree.
If the degree was earned at another institution, the name of that institution will be displayed.

Degree Summary
This checkbox is used to indicate that this Degree History record is the current degree. Only one Degree History record can be flagged as 'Current.'
Selecting a degree program recognized as active ensures any existing plans for the major, minor, certification, or concentration will be automatically assigned to the student. Plans are used in J1 Web Advising to help advisors and students map out when to take the curriculum required to meet the program requirements.
This checkbox is used to indicate that this student is not seeking a degree. This value is used in the IPEDS Enrollment reports and in NSC Enrollment reports.
This checkbox is used to indicate if this Degree History record is active. Multiple degrees can be flagged as 'Active.'
If a student has the Non-Degree Seeking check box cleared, then majors and certifications for all active Degree History rows are reported in the program buckets for NSC Enrollment reporting.
Select the appropriate OPE ID from the drop-down list. This is the OPE ID of the organization the student attended while seeking their Gainful Employment program.
The OPE ID can also be updated on the Degree History table by scripts. Please contact your IT Director for more information.
This date is the date the student received the selected degree. This value is used in the IPEDS Completions, final GRS reporting, and NSC Degree Verification processes.
You can select a code in this drop-down list.
These codes are defined on the Maintain Table Values window and stored in the Table Details table. Choose Column Name of stud_gen_intent. Once codes are defined, they can be selected from a drop-down list.
Degree Dates
This column contains the date the ID Number entered this degree program
This column contains the year this ID Number expects to graduate with this degree.
This column contains the term this ID Number expects to graduate with this degree.
If the ID Number withdrew from this degree program, this column contains the date he/she re-entered the degree program.
If you select this checkbox, the degree is printed on the Transcript Report.
This tab allows you to track and update information related to a student's leave of absence per the Federal Law 34 CFR 668.22 requirement. Depending upon FERPA permissions, you can also provide and review feedback related to a leave of absence. This is a copy of the Leave of Absence window.
When you change a column that may impact National Student Clearinghouse (NSC) program reporting, a pop-up prompts you to enter an Effective Date. The NSC reporting process in J1 uses the Effective Date as the Program Begin Date. |
You can select up to 4 majors for the designated degree. Majors are typically assigned a CIP code.
You can select up to 4 certifications for the designated degree. Certifications are typically assigned a CIP code.
You can select up to 4 minors for the designated degree.
You can select up to 5 concentrations for the designated degree.
You can select up to 3 Academic honors for the designated degree.
You can select up to 3 Other honors for the designated degree.
Advising Institutional Requirement Year
This column contains the Catalog Year for this degree. It is required for the process that automatically creates student aims if Degree/Aim Cross Reference values are defined.
Academic Planning Start Year/Term
Select the year/term the academic plan to be used in conjunction with your school???s classification codes to determine when a new or transferring student will start utilizing their academic plan.
Assign student's plan from the beginning term
This checkbox determines how the requirements should be distributed into terms in a student's plan. Most schools leave it unselected. Here's a guiding question to help you decide whether to select it.
Suppose this student first enrolls in the spring instead of the fall. What should their plan show for their first term (which is a spring term)?
If it should show Year 1, Term 1 requirements for the first term (spring), and Year 1, Term 2 requirements the second term (next fall), select the checkbox.
If it should show the regular Year 1, Term 2 requirements from the default plan, leave the checkbox unselected.
If students aren't allowed to first enroll in this program in the spring, leave the checkbox unselected.
Selecting the checkbox is useful for students in programs where the student can complete the same sequence of courses no matter which term they first enrolled in.
Use this drop-down list to track when a student has been admitted to a certificate or degree program through a separate or restricted admission process (rather than the student simply declaring a major).
Commencement:
This column indicates the date the ID Number applied for graduation for this degree program.
You can select up to 2 Program Areas for the designated degree.
You can select an Honors Program for the designated degree.
You can select Institutional Division codes for up to 2 colleges/departments that are awarding the degree.
Select the appropriate Graduation Year from the drop-down list. When you select this value, the Graduation Term column is populated with the appropriate term code for the selected degree.
When you select the Graduation Year, the Graduation Term drop-down list is populated with the appropriate term codes for the selected year.
The Class Rank is updated by the Classification Update process if the Update Student Division Master checkbox is selected on the Classification Update window.
Select the Degree Period from the drop-down list. The list includes only NSC Degree Periods. If your institution is using the NSC Degree Verification functionality, this column can be updated by that process. The NSC Degree Period can span over multiple Degree Periods.
Diploma:
This text box allows you to enter the diploma name as it will appear on the student's diploma for this degree.
Diploma Dates:
Select the date the diploma for this student for this degree was ordered.
Select the date the diploma for this student for this degree was mailed or picked up.
Select this checkbox if the diploma for this degree was awarded In Absentia.
Select this checkbox if the student wants to pick up the diploma. If this checkbox is not selected, the diploma will be mailed to the student.
This tab allows you to track and update information related to where a student is within the graduation process. You can review and update the graduation stage, review date, and stage status per student per degree. You can also provide and read feedback for each stage.
Select from the drop-down list the appropriate graduation stage for this student for this degree. Stages are listed in the drop-down in sequential order.
This stage is used in conjunction with J1 Web Advising* to let advisors know where their advisees are within the graduation process. The stage with the highest order appears on the Graduation Status block and the Advisee Roster. |

Select from the calendar the date and time for which the Review Date for this Graduation Stage is scheduled.
Select from the drop-down list the status of the Graduation Stage review.
