Use this window to maintain values that appear in the State Account Code drop-down list on several General Ledger windows, including G/L Accounts, Add GL Accounts, and Search and Update GL Accounts.
Add or Update State Account Codes
1. Access the State Account Code Definition window.
2. To add a new code, select Add Row from the right-click or Options menu.
You can also make updates to existing state account codes, however, you cannot change the code or description of state account codes provided as default data by Jenzabar.
3. Enter a code in the State Account Code column.
4. Enter a description for the code in the Description column.
5. To designate the order in which this code appears in the drop-down list, update the number in the Display Order column. (You may need to update the display order for other account codes.)
6. To activate the code, make sure the Active? checkbox is selected.
7. To have the code appear in the State Account Code drop-down list, make sure the Display in Dropdown? checkbox is selected.
To keep the value from appearing in the drop-down list, you must first deactivate it by deselecting the Active? checkbox. Then deselect the Display in Dropdown? checkbox. If the state account code has been linked to a GL account, you cannot deselect this option. You can, however, deactivate it.
8. Click Save on the tool bar.
Activate or Deactivate State Account Codes
1. Access the State Account Code Definition window.
2. Locate the state account code you want to activate or deactivate.
o Select the Active? checkbox to activate the state account code.
OR
o Deselect the Active? checkbox to deactivate the state account code.
Inactive state account codes will appear at the bottom of drop-down lists with "Inactive" at the beginning of the description.
3. Save your changes.
Values provided as default data by Jenzabar cannot be deleted. Instead, you can deactivate and choose not to have any unneeded codes appear in drop-down lists by deselecting the Active? and Display in Dropdown? checkboxes for those codes.
You can delete codes you have created, however, if those codes are associated with an account, a prompt will appear describing the associated accounts and indicating whether you are able to delete the codes.
1. Access the State Account Code Definition window.
2. Select the state account code you want to delete, and select Delete Row from the right-click or Options menu.
3. Save your changes.
