Maintain Advising Requirements Window

Use this window to view, maintain, and define Advising Requirement Codes, which are the building blocks for the Advising module and are used to build your curriculum on the Institutional Requirement Trees window. When a requirement is defined, it is associated with a code that identifies it within the Advising system. It is also defined with a specific requirement type that is used to determine how the requirement is to be evaluated.

Advising requirements are used for two major purposes:

·       They define the link between the Registration and Advising modules. The Advising Requirement Code column is maintained in the Registration module on the Catalog window, Section Master and Schedules window, and Student Course History table.

·       They are used as a broad definition of a requirement for which a student is evaluated.

If ART103 will always be worth three credit hours, you would set the Hours Needed for this requirement to 3. However, if this requirement is found in both the General Education and Art Major Institutional Requirements Trees, then ART103 could be defined with a minimum grade of D for the General Education Tree and a B for the Art Major Tree. When the Advising Engine evaluates the student's progress, both instances of ART103 will have Hours Needed equal to 3 because of the broad setup in the Advising Requirements Codes table but the grade requirement will vary depending on the Institutional Requirements Tree.

If an R (Root) cluster code appears, the relation type will automatically default to AND and the column becomes display only. If a G (Group) cluster code appears, the relation type is editable.

On the Maintain Advising Requirements window, you cannot change an Advising Requirement Type of ROOT or GROUP to any other Advising Requirement Type if it is utilized in at least one institutional requirements tree. If this is the case, you will receive the following message: "Sorry, this ROOT requirement is currently utilized in at least one institutional requirements tree; therefore, the advising requirement type and cluster code cannot be modified."
 
If you have experience building Trees in Advising, you may have come across the error “Unable to retrieve parent handle.” This error most often occurs when the ARC Type of a ROOT or GROUP has been changed after that specific ARC had already been built into a Tree.
